Position Overview
The Athletic Events Manager primarily focuses on the planning and execution of athletic events. During the off-season, the position will be required to assist in the planning and execution of non-athletic events as well. The individual is responsible for assisting clients by providing advance planning support, coordinating and arranging resources, providing quotes and invoices and playing a key role in the day of execution. This position plays a key role in establishing and strengthening relationships with on campus and off campus stakeholders through providing exemplary customer service.
Unit Overview
Administrative Operations mission is to provide stewardship of multi-use facilities, administration of conferences, events and activities, business services and solutions while implementing a culture of safety benefiting the education of students, recruitment of faculty, staff and students and continued enrollment efforts.

Position Responsibilities


Key Accountability Leads the coordination and execution of athletic events by:
Job Duties
  • Serving as the lead event manager for assigned sports;
  • Directing the operations of the students, third party vendors and other personnel;
  • Ensuring a safe and pleasant environment for events by collaborating with other stakeholders;
  • Acting as a representative of the University of Idaho to patrons and visiting teams;
  • Utilizing discretion and judgment to ensure athlete and patron safety and positive experience;
  • Collaborating with other stakeholders and assisting with the planning and implementation of emergency management plans for all athletic events;
  • Assisting in the preparation of athletic facilities prior to athletic events and re-setting facilities following the events;
  • Providing clients with pre-event cost estimates and following through with billing/invoicing following events.
Key Accountability Provide oversight of athletic event staffing by:
Job Duties
  • Hiring, training, and managing athletic event staff;
  • Overseeing development of work schedules;
  • Assigning work, setting priorities and evaluating performance of athletic event employees;
  • Ensuring that training needs are met to keep staff at a proper level in best practices and current technologies;
  • Encouraging communication flow through staff meetings, and formal paperwork.
Key Accountability Leading the coordination and execution of non-athletic events by:
Job Duties
  • Working independently on a variety of events;
  • Coordinating third party event related services for various clients across campus and in the community;
  • Coordinating university resources in support of on and off campus events;
  • Serving as a liaison with university departments, administrators and support staff in order to ensure timely and professional information flow;
  • Providing clients with pre-event cost estimates and following through with billing/invoicing following events;
  • Assisting in setting resources in preparation for events (tables, chairs & other equipment) when necessary
Key Accountability Enhancing campus relations by:
Job Duties
  • Attending meetings and gatherings on campus and throughout the community as assigned;
  • Interacting with all levels of campus constituents to create and maintain cordial working relationships to ensure successful events;
  • Participating in facility and athletic event management decision making.
Key Accountability Contributes to the team effort by:
Job Duties
  • Accepting additional responsibilities and assignments as directed;
  • Making recommendations and assisting in the optimum use of university resources;
  • Serving as a scheduler for facilities when necessary;
  • Managing staff schedules when necessary.

Position Qualifications


Required Experience
  • Two years of progressively responsible experience in event planning.
  • Experience using common office computer applications including word-processing, spreadsheet, email, and browser applications.
Required Education
  • High School Diploma or equivalent
Required Licensures, Certifications or other
  • Required to work non-standard schedule as needed to meet business needs of the office.
  • Valid Driver’s License and ability to meet the University of Idaho’s driving requirements

Additional Preferred
  • Bachelor’s degree in Sports Management, Business Management, or 4 or more years of athletics management experiences, with a focus on event operations.

Ability to:
  • Communicate effectively in orally and in written communication.
  • Apply budgetary and fiscal planning techniques within financial constraints.
  • Plan, direct, and evaluate a complex operation, using staffing power, time, funds, and other resources for the accomplishment of organizational policies, activities and long-term and short-term goals of the organization.
  • Work effectively with internal constituents, particularly coaching staff, senior staff and other University staff.

Experience in:
  • Interpreting and applying laws, rules and regulations, developing security systems and safety programs.
  • Developing, establishing and maintaining effective working relationships with students, faculty, staff, administrators, and public, private, and governmental offices and agencies.
Physical Requirements
  • Ability to move about and between event locations for extended periods of time up to a full day of work.
  • Ability to lift, carry and/or otherwise move up to 50-70 lbs.
Working Conditions
  • Work indoors and outdoors as needed to support events.
