Asst Director Operations
Job Description
An integral part of the School of Earth and Space Exploration Headquarters Leadership Team, this position develops, manages, and controls the business operations. This includes budgeting, accounting, supervision of staff, strategic planning, inventory control, and internal processes. We are looking for an individual who is a highly motivated and highly effective team leader with financial acumen, excellent organization and communication skills. Salary Range

Essential Duties
- Provides fiscal oversight and management for all non-sponsored accounts in the School.
- Coordinates preparation of administrative and financial reports, including monthly, quarterly and annual accounting reports and financial statements for review by Directors.
- Develops, implements, and assesses internal account and financial controls to manage department’s revenue and operations.
- Provides analysis of operations to target areas for improvement and works with applicable responsibility area leaders in implementing change.
- Interprets statistical, financial management planning data for decision-making and strategic planning.
- Works closely and cooperatively with leadership team to develop operational and financial outcome measures, related tracking and monitoring systems and a mechanism to integrate efforts throughout the College.
- Supervises Financial Team includes oversight of front office operations.
- Prepares and coordinates major operational and specialized budgets, provides budget projections, analyses and recommendations for allocation of department resources.
- Develops and maintains state, local and capital budget processes; establishes, monitors and implements corrective actions as appropriate to ensure ongoing adherence with sound internal control practices for judicious use of funds in accordance with all applicable standards, policies, requirements and regulations.
- Inputs and directs departmental annual budget planning; quarterly forecasting ABOR and coordinates audits
- Participates in development, review, and revision of operational and administrative policies, practices and procedures to ensure consistency and coordination with University, legislative, federal and other applicable requirements.
- Develops and supervises staff; works closely and cooperatively with OHR and college based human resource staff to coordinate, monitor and implement human resource activities to ensure consistency in application and adherence with policies, practices and regulations.
- Inputs and directs departmental annual budget planning; STAR forecasting and coordinates audits
- Reviews, monitors, and initiates actions appropriate to ensure ongoing compliance with established procurement and contract administration policies, standards and regulations; prepares regular and periodic reports of activities.
- Manages the development and coordination of special projects and assumes other duties or projects as directed.
Minimum Qualifications
Bachelor’s degree in Business Administration, Public Administration, Finance, Accounting or closely related field AND five (5) years experience in financial operations, which includes one year of supervisory experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Knowledge of accounting, budgeting and fiscal management.
- Knowledge of ASU’s standard business and procurement practices.
- Knowledge of budget management methods and techniques.
- Knowledge of the principles of organizational, financial, and supervisory practices and techniques.
- Experience in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems.
- Ability to prepare, audit, understand and interpret complex financial and budgetary management reports.
- Evidence using ASU financial/administrative systems (Workday, Analytics, PeopleSoft, iFAS, Concur).
- Experience in planning, time management, analyzing and coordinating activities and establishing priorities.
- Experience in effectively managing, supervising and evaluating assigned staff.
- Ability to develop and maintain cooperative working relationships both within and across organizational areas.
- Experience using Microsoft Office and Excel applications.
- Ability to work effectively in an environment subject to quickly changing priorities and short deadlines.
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
- Required to stand for varying lengths of time and walk moderate distances to perform work.
- Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.
- Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate to perform essential functions.
