Position Summary

Reporting to the Director of Admissions and Financial Aid at the Graduate School of Architecture, Planning and Preservation (GSAPP), the Assistant Director maintains and updates digital platforms and databases serving the Admissions Office of the School with approximately 750 students and 3,500 applicants.  The position ensures data integrity across the school and university systems and digital platforms, establishes and maintains consistency in data management, oversees data migration, tracks changes and updates to records, provides regular reconciliation and analytical reports, and updates related online platforms and website pages as needed.


Responsibilities

  • Admissions Cycle - 45%
  • Program updates to the online admissions application form, and test and troubleshoot application system
  • Program event registrations and other submission forms in the admissions system
  • Assist with application processing as needed
  • Prepare access to admissions applications to appropriate faculty members for review
  • Close degree program applications and prepare/update application forms for next cycle
  • Track and report on application activity throughout cycle, including preliminary data analysis
  • Code and generate regular queries and reports on applications, admissions, enrollment and yield numbers, including comparative reports of current against past admissions cycle
  • Track and reports on Financial Aid disbursements
  • Enrollment Cycle - 5%
  • Process enrollment deposit refunds and reporting on deposit returns (incl. special students)
  • Promise to register enrolled students in SIS
  • Ensure automated communications are sent to incoming deferral students
  • Complete PCI training and maintain annual PCI compliance
  • Generate regular enrollment reports
  • Reconciliation of data across School and University Systems - 15%
  • Export admitted applications from Slate to SIS (CU mainframe)
  • Oversee data migration, test and troubleshoot data feeds for SIS
  • Match applications to existing records
  • Import PID & UNI information to applicant records from SIS to Slate
  • Track and report on admissions declines, leave of absence, withdrawals, and deferral requests and make adjustments to enrollment records across platforms
  • Import graduation lists and dates to Slate, match with applicant records and update status
  • Consolidate records including correcting student records (updating SSN, names, etc.)
  • Prepare and provide Associate Deans with regular reconciliation and analytical reports on enrolled students, financial aid disbursements, and others as needed
  • Website and digital platform updated - 30%
  • Program or implement system and website updates including academic calendar dates, admissions deadlines, prospective and admitted student pages, appointment forms, among others
  • Content updates and maintenance of additional platforms such as Google Groups or similar tools and digital resources and guides for prospective, admitted and enrolled students
  • Oversee online info sessions for prospective students
  • Program content updates for automatic system email communications for prospective and admitted students
  • Will perform additional duties as assigned - 5%

Minimum Qualifications

  • Bachelor's degree or equivalent and 3-5 years of related experience related required.  Must have excellent interpersonal and organizational skills and be able to work with a highly diverse, international student body.  Must possess mature judgement and have the ability to handle confidential and/or sensitive issues with tact and discretion.
  • Required computer skills include knowledge of desktop publishing, web design, Slate database management and SQL, and Microsoft Office, Excel and Adobe Creative Suite.

Preferred Qualifications

  • Experience in an academic setting.  Some background in architecture/design or a related field is desirable.
  • Prior experience with Slate and advanced Excel
