Position Overview

The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Information Systems and the Office of the University Registrar.

The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation and diploma production. 

The Associate University Registrar – Student Academic Services: Academic Records, Residency, Assessment, Compliance, Technology & Reporting is responsible for and exercises significant judgment and decisions over the management, administration and supervision of the personnel and projects/programs that are part of the academic records, enrollment, tuition and fee, residency, compliance, reporting, and technology functions of the Office of the University Registrar (OUR). The Associate University Registrar is directly responsible for ensuring successful fulfillment of the office’s mission and oversight as detailed in the job responsibilities. In addition the Associate University Registrar works closely with the University Registrar to determine short and long range planning objectives for the OUR and provides expertise and leadership to the office and as needed, the University. Failure of these services would be catastrophic for the University.

Job Description

40% Leadership

  • Serve as a problem-solver responsible for prioritizing student records, registration, tuition, fees, residency, reporting, technology, and communication needs that support students and academic functions across the university. 
  • Provide strategic guidance and vision for optimizing services and technology for student records, registration, graduation and reporting for the university that support the university mission and vision.  
  • Manage exceptions and appeals to residency, tuition, fees, and student record policies.
  • Develop, review, implement, and interpret university policies, state and federal laws and regulations as they pertain to the Office of the University Registrar and ensure they are consistently applied, and procedures are standardized.
  • Provide direction and leadership to support the objectives and program development for our diverse university learners.
  • Participate actively and collaboratively on university committees and working groups designed to improve student experiences and processes. 
  • Provide leadership and direction in the Office of the University Registrar and work with staff to achieve departmental goals and priorities, through process improvements and tracking progress toward goals.
  • Review and recommend strategies to improve degree progression using enrollment metrics.
  • Partner with academic units and the Associate University Registrar for Course Scheduling to establish course schedules that meet academic requirements and facilitate a path to degree completion for all students.
  • Demonstrate commitment to ongoing professional and personal growth. 
  • Provide guidance and leadership for student records data for the university for the confidentiality and security of student academic records and compliance with academic policies and FERPA regulations in all schools of the university.
30% Project Management and Assessment
  • Coordinate management of projects assigned to Office of the University Registrar and communication regarding status to end-users.
  • Develop and coordinate outreach activities, involving academic records, enrollment, tuition, fees, residency, and reporting.
  • Participate in regional and national professional development activities around KACRAO, AACRAO and Courseleaf and 25-Live.
  • Work closely with Student Information Systems Office on Oracle requirements and issues as well new functional strategies for configuration and modifications.
25% Supervision
  • Direct and prioritize the activities and evaluate the performance of staff members within the Unit who report to this position.
  • Provide direction to professional development of staff, including orientation, training, professional development to support unit goals of outstanding customer service.
5% Other Duties
  • As assigned by the University Registrar.

Required Qualifications

  • Bachelor’s degrees with five (5) years' of related experience or Master’s degree plus three (3) years of related experience.
  • Three (3) years’ experience at an assistant director or higher level.
  • Experience achieving success within a rapidly changing and uncertain environment.
  • Skill in strategic vision, relationship management, effective written communication, and attention to detail as demonstrated in application materials.
  • Experience in Campus Solutions/PeopleSoft or similar enterprise-wide student information software.
  • Three-years supervisory experience.
  • Demonstrated experience with leading and managing projects and groups effectively including build trusting, collaborative relationships and the skill to inspire others to work toward a common goal.
  • Experience with critically assessing processes then recommending and implementing changes as demonstrated by application materials. 

  • Preferred Qualifications

  • Master’s Degree in Higher Education, Education Administration, Student Personnel or closely related field.
  • Five (5) years’ experience in a registrar’s office.
  • Experience at a large, public, research institution.
  • Five (5) years’ experience at an assistant director or higher level.
  • Five (5) years supervisory experience.
  • Demonstrated project management.
  • Demonstrated experience in problem solving, critical analysis and/or policy development.
