Job Description:
The Associate Purchasing Specialist supports the assigned categories by the acquisition of goods and services for the University by securing the best price, quality, service and delivered of assigned categories.
Qualifications:

  • Associates Degree required minimum 3-5 years professional experience, Bachelors degree preferred minimum 1-3 years professional experience, preferably in business or supply chain management.
  • Professional certifications preferred (C.P.M., CPSM).
  • A track record of meeting and exceeding goals and objectives.
  • Must be proficient in Microsoft Outlook, Excel, Word and Power Point (or note Microsoft Office).

Job Specific Qualifications:
  • Ability to handle a high volume of procurement transactions, with a high degree of accuracy.
  • Excellent negotiation and solicitation management skills for assigned areas.
  • Strong follow-up skills; ability to multi-task, meet timelines and follow up with internal and external customers.
  • Strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively.
  • Strong organizational skills; ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast-paced environment.
  • Strong track record of building and maintaining solid relationships with internal and external customers and suppliers.
  • Self-motivated; able to work both independently and in teams.
  • Must have an understanding of Supply Management, University policies, and contract laws.

Responsibilities:
  • In conjunction with key campus customers, collaboratively performs the day to day procurement function of; soliciting, negotiating, buying and settlement of goods and services of assigned categories. This position will work with internal customers and suppliers to ensure the University is receiving the best value possible in these transactions. This position will support their assigned customer base with the responsibility of obtaining the required goods and services in the most efficient and cost effective method within the required timeframe. Transaction values may range from a small amount to tens of thousands. Ensure transactions conform to all SU and regulatory policies.
  • Perform purchasing functions through the use of eProcurement processing and procedures. Ensure strategic sourcing agreements are being utilized effectively. Following up with suppliers to reconcile discrepancies with orders, deliveries, invoices, or other situations.
  • In assigned category areas, create RFI/RFQ/RFP documents for assigned categories. Work collaboratively to assist both customers and suppliers with specification development and understanding. Assist the customers with the identification, qualification and selection of qualified suppliers meeting both short term, long term and University strategic goals.
  • Effectively manage supplier relationships with the ability to communicate desired terms and conditions, preferred payment term options, proactively respond to any market changes that could affect expected product deliveries, and ensuring quality is maintained.
  • Assist the Strategic Sourcing Specialist and the Campus in designated categories with the successful development and execution of Preferred Supplier Agreements and University wide Contracts.
  • Assigned categories for this role will be Maintenance, Repair and Operating (MRO).
