The HR Immigration and Relocation Services team offers a wide range of services to prospective and appointed faculty and staff who are relocating to Shanghai from overseas. Staff in this role will be a member of the HR Immigration and Relocation Services Team to assist international faculty and staff with their relocation to China with various matters relating to pre-move consultation, immigration, household shipping, housing, relocation travel, settling services, and repatriation support upon completion of employment at NYU Shanghai. To serve for the function, you will be collaborating with other internal functions such as Finance, Office of Faculty Affairs, Facility Management, Public Safety, Student Life, etc. and liaising with external authorities and vendors mainly include relocation companies, real estate agents, immigration agents, international schools, and other service providers.

 

The main responsibilities include: 

Immigration and Relocation Services (60%)

  • Serve as a key point of contact for international faculty and staff, coordinating pre-assignment, on-assignment and repatriation planning and providing on-the-ground support for immigration clearance, housing, shipping, settling-in orientation, schooling, concierge services (e.g. mobile phones, bank account, etc.) and other day to day miscellaneous enquiries and needs; 
  • Work with external service providers to deliver high-quality services to international employees, monitor vendors’ performance, and manage vendor invoices, payments, etc.;
  • Assist the Associate Director of Immigration and Relocation Services in developing, maintaining internal and external communication plans and literature on immigration and relocation policies and processes, projects, policy updates, etc.;
  • Administrate faculty housing, check bills and manage payments in collaboration with C&B and other teams; 
  • Interact with local authorities in processing foreign employees’ permit applications and build ongoing relationships with them;  
  • Provide consultation regarding visa and travel restrictions for employees returning to China from overseas during COVID-19, and support them to cope with quarantine fatigue upon arrival; 
  • Other tasks as assigned, e.g. welcome kit preparation, orientation programs, cultural activities, etc.

Immigration Compliance and Advising (30%)

  • Manage China immigration processes and policies in compliance with governmental regulations and NYU global practices. 
  • Maintain the knowledge of changes in immigration policies/regulations and communicate to relevant stakeholders;
  • Provide immigration and mobility-related expertise and guidance to recruitment team, department heads and program leaders;  
  • Routinely publish information and hold information sessions regarding important immigration and employment policy changes that may impact our community.

 

Data Management (10%)

  • Enter mobility data into Workday and maintain regular and ad hoc reporting;
  • Track mobility related costs; 
  • Advise on improvement actions based on findings as needed.


Required Education

  • Bachelor’s degree or above, preferably in Human Resources, Business, Foreign Languages or other relevant disciplines.

Required Experience 

  • Previous HR global mobility experience will be a plus but not essential, and experience of living abroad is preferred.

Required Knowledge, Skills, and Abilities

 

  • Proficient in both written and spoken English and Chinese;
  • Strong interpersonal and communication skills to work in an international environment and perform complex collaborative tasks;
  • Good customer service skills with a focus on empathy and sensitivity to intercultural complexities;
  • Proactive planning, executing, and multi-tasking skills; 
  • Ability to work under pressure and manage tight deadlines;
  • Strong attention to details;
  • Self-motivated and able to work independently or as part of a team;
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel).
