Facilities and Event Services in Student Life at James Madison University is currently seeking applicants for the Associate Director for Student Life overseeing the 3 student focused buildings: Festival Conference and Student Center, the Student Success Center, and the Union.
Duties and Responsibilities
Supervision: Directly supervises the Operations Managers (The Festival, Student Success Center (SSC), and Union Complex), Audio/Visual and Technology Manager, and indirectly supervises building coordinators (The Festival, SSC, and Union Complex), and student employees. Assists the Director in providing strategic leadership for supervisory areas.
Facilities Management: Ensure that all spaces managed by Student Life are safe, clean, operational, and accessible; additionally, facilities are managed consistently where appropriate. Coordinate with Facilities Management and Operations Managers to develop and implement plans for preventative, periodic, and corrective maintenance. Schedule safety drills and audits with Public Safety and Emergency Management; knowledge of relevant workplace health and safety requirements. Buildings are operating consistently under the above-listed principles. Verify that internal and external signage is up-to-date and accurate. The use and creation of audits, deferred maintenance and capital renewal for repairs, furniture, and technology. Facilitate building readiness during inclement weather, university closings, and crisis management. Knowledge of any applicable institutional collective bargaining practices and agreements as they relate to facilities management and associated trades. Partner with appropriate university offices to continuously assess facilities and fixed assets for relevancy and inclusiveness. Knowledge of basics of building construction and engineering.
Programs and Events: Have facilities prepared to respond to the needs of students and the university community in the dynamic ways they engage through programs and events.
Assessment: Coordinate with department director and direct reports to develop and implement ongoing assessment efforts for supervisory areas with the expressed purpose of measuring the attainment of objectives and program improvement. Assessment should ascertain needs, participations and non-participation demographics, participant satisfaction, and accomplishment of stated goals and learning objectives. Analyze space usage patterns and provide recommendations for improvements.
Policies and Procedures: Conduct an annual review of a subset of policies and procedures with stakeholders to support diverse campus population needs. Knowledge of inventory processes and control systems. Ensure that facilities comply with federal, state, local, and university laws and policies. Remain up to date on best practice information from governing bodies and professional associations (ACUI, APPA).
Budget Management: Coordinate with supervisory areas staff to maintain all office budgets, ensure appropriate and effective use of available resources, and assist in the annual budget development process.
Collaboration: Proactively develop and maintain collaborative relationships with all departments across Student Affairs as well as other stakeholders where such relationships would promote efficiency/effectiveness in fulfilling the department, divisional, and university mission. Foster and maintain applicable tenant relationships.
Committee Work: Serve on department and university committees. Actively participate in accomplishing established goals and objectives.
Professional Development: Accomplish a minimum of 20 hours of professional development, attend departmental professional development training, participate in staff retreats and other job-related training. Effectively utilize conferences and other professional development opportunities as tools for staying current in the field of higher education. Support all staff in increasing their capabilities to contribute through departmental training and professional development.

Qualifications
Required:
  • Bachelor’s degree with 5+ years work experience in a higher education setting, or similar environment
  • Experience managing student staff or volunteers
  • Experience developing and managing budgets
  • Commitment to student development
  • Record of commitment to inclusiveness
  • Experience utilizing data to drive decision-making
  • Experience managing multiple projects simultaneously
  • Ability to communicate with a variety of constituents

Preferred:
  • Master’s degree in higher education setting or similar environment
  • Skilled using different techniques to teach and engage students in a higher education environment
  • Experience responding to last minute, unexpected situations
  • Be current on research and trends in building management, maintenance, and enhancement

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
