Position Overview:

The Associate Director of Student Financial Aid will have primary oversight of the endowment scholarships and compliance. The endowment process is completed annually and includes over 400 funds that are assigned to individual students. As the compliance lead in the office, this position is responsible for remaining current on changing regulations and ensuring the office remains compliant by overseeing the Policy & Procedure manual. This position will also oversee the R2T4 process and assist in the coordination and review of financial aid applications, packaging and awarding of aid, and the proper distribution of institutional, state and federal funds.

This position will also interact with and provide counsel to students and families about financing a high-cost college education.

Essential Job Functions/Responsibilities: 

  • Managing the selection of appropriate recipients for endowed scholarships and restricted gifts working with the Comptroller's Office and Stewardship Office. 
  • Supervision of student employees in SFA (in consultation with other office staff). 
  • Maintenance of the Policy and Procedure manual 
  • Responsibility for completing the R2T4 process for federal, state, and institutional funds  
  • Meeting and communicating with students, their parents, campus advisors, and other pertinent constituencies about financial aid eligibility, requirements, availability and individual circumstances, where appropriate. 
  • Reviewing of financial aid applications, including FAFSA and CSS Profile documents. 
  • Understanding and interpreting the FM and IM need analysis computations. 
  • Assisting in formulation and implementation of College financial aid policies. Using these policies in a uniform and standard manner, while applying professional judgments for exceptions in appropriate situations. 
  • Using PowerFAIDS, OnBase, College Board IDOC and other technologies to communicate and process applications effectively. 
  • Creation and maintenance of the named funds in PowerFAIDS to ensure efficient and accurate awarding 
  • Understanding and interpreting rules and regulations requirements for federal and state awarding and verification of appropriate data. 
  • Completing of required reports, including the FISAP 
  • Representing Carleton's Student Financial Aid Office at outreach functions and selected professional meetings. 
  • Other duties as assigned and required by the Director. 

Education/Experience/Skills: 

Required:  : Candidates must hold a Bachelors Degree and have at least 6 years experience in an administrative, counseling or student services office at a college setting.  All candidates must be able to work independently, communicate effectively and be motivated to assist students and their families in affording a high cost college education.  Preference will be given to those who have actual experience in a financial aid and/or admissions office at a selective liberal arts college. 

Preferred: 

Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
