General Information
The Division of Student Affairs includes University Career Center, Center for Multicultural Student Services, Community Engagement and Volunteer Center, Counseling Center, Dean of Students, Disability Services, Student Accountability & Restorative Practices, Sexual Orientation, Gender Identity & Expression, Orientation and Transition, Residence Life, Student Life, University Health Center and University Recreation. The division is an integral part of the campus community and works collaboratively with the other divisions of the university in supporting the mission, vision, and values of the university. Orientation and Transition is a dynamic, multi-faceted team offering strategically designed programs and services intended to ease the transition for 5,000+ new undergraduate (first-year and transfer) students and their supporters into the institution each year. Orientation and Transition’s mission is to engage students in the JMU learning environment by preparing them to be active and authentic members of the university community. The office is a student-centered, team-oriented environment that prioritizes student development and values authenticity, community, leadership and student success. The office consist of 8 full-time professional staff, 3 graduate assistants, and several teams of over 350 student staff. This position reports to the Director of Orientation and Transition.
Orientation and Transition program overview:
  • The One Book, an online experience that serves as student’s go-to resource to guide them through the transition.
  • Transfer Summer Orientation, 3 one-day programs in June and July welcoming 700+ transfer students and their guests.
  • First Year Summer Orientation, 13 one-day programs in June and July welcoming 4,500+ first year students and their guests.
  • Weeks of Welcome, a 3 week welcome program for all new first year and transfer students that begins a few days before both the fall and spring semesters.
  • Spring Orientation, 1 one-day programs for 300+ new spring students and their guests.
  • Additional programming throughout the academic year.
Duties and Responsibilities
The Associate Director responsibilities include but are not limited to the following:

Pre-Orientation & Reservations:
  • Strategize and lead the pre-orientation processes including The One Book and online One Book portal.
    • Set-up, manage and troubleshoot as necessary to ensure the online checklist for students is functioning as it should and students are progressing as intended.
    • Set, monitor and manage the Orientation reservation numbers.
    • Set a vision and manage the online One Book publication and welcome mailer which includes design updates, edits, and collaboration with campus partners.
  • Partner with key stakeholders such as Admissions, Enrollment Management, University Advising and other departments working with the student matriculation process to ensure a smooth transition.

Leadership for Orientation programs:
  • Provide strategic leadership to develop, plan, facilitate and assess Summer & Spring Orientation programs for students and their guests (on-campus and virtually).
  • Develop and maintain relationships with key campus partners to facilitate successful Orientation programs including chairing the Planning Orientation Group.
  • Support students with disabilities, international students, student-athletes and other populations that have distinct needs to assist them in their transition.
  • Support the recruitment of student leaders and strategic vision for the development and facilitation of training that supports their development within the role.

Supervision:
  • Recruit, train, and directly supervise the Assistant Director of Orientation and Coordinator of Student Staff.
  • Provide vision, set expectations and support staff.
  • Promote continual learning through professional development opportunities, responsibilities that require use of student development knowledge, and fostering a sense of empowerment.

Customer Service & Experience:
  • Oversee the customer service experience to ensure high customer satisfaction via in-person, email, phone and social media.
  • Ensure communications to students and guests are clear, concise, accurate and effective through departmental publications, websites, videos, social media and other media.

Office Leadership:
  • Assist the director on strategic planning, visioning, and decisions to reach departmental goals.
  • Identify areas of growth opportunities for professional and student staff, individually and collectively.
  • Help foster a culture of appreciation for ideas and differences among each other.
  • Manage the allocated operational budget.
  • Contribute to the annual reporting process and departmental program reviews.
  • Participate in and coordinate professional staff trainings, meetings, retreats and projects.
Qualifications
Required:
  • A master’s degree or related experience.
  • 3+ years of professional experience with large scale events/programs.
  • Experience supervising staff.
  • General understanding of student development, leadership development and/or student transition issues.
  • Collaboration with key stakeholders to reach a common goal.
  • Technologically proficient.

Preferred:
  • A master’s degree in College Student Personnel, Higher Education, or related field.
  • 3+ years of professional experience in higher education developing, planning, coordinating and facilitating highly complex, large scale programs, especially in orientation and/or transition programming for undergraduate students and their guests.
  • Experience supervising full-time staff, graduate students and student leaders as well as recruiting, selecting, training and supervising a diverse student leader team.
  • Technologically proficient, especially with managing and troubleshooting an online reservation system, CRM, Microsoft Office products and utilizing publication editing software like Adobe.
  • Strong communication skills including effective presentation, writing, editing and digital.
  • Sensitivity to the needs of a diverse student community and creating programs that promote and support student connectedness and sense of belonging.

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
