The Division of Advancement and Alumni Engagement utilizes resources, technology, and business for the purpose of soliciting alumni, donor engagement, donor research, and stewardship throughout Emory University and Health Systems. The Engagement, Communications & Marketing Operations team focuses on providing financial, administrative, business technology support, and data management vital to alumni-related events and activities. They also manage events at the Miller-Ward Alumni House, the home of the alumni association. This position will report to the Senior Events Manager.
JOB DESCRIPTION:
- Manages the logistics, planning, and execution of conferences, meetings, and various types of special events for Miller Ward Alumni House.
- Manages events for internal and external constituents which may include but are not limited to multi-scaled formal events, dinners, receptions, luncheons, board meetings, key homecoming and commencement events, welcome or farewell events for staff, and cultivation and stewardship events.
- Acts as a primary event representative to the client and vendors before, during, and after event.
- Reviews and/or approves event plans and concepts.
- Manages and executes contracts, billing, payment processes, and revenue and tax reporting for all events.
- Negotiates contracts and manages relationships with vendors.
- May coordinate marketing, communication and branding efforts.
- Maintains inventory and procurement of supplies.
- Manages invitation and attendance processes through CRM system.
- Provides reports, documentation, or materials for post event analysis.
- Performs other related responsibilities as required.
- Some night and weekend work is required.
ADDITIONAL JOB DETAILS: In addition to the duties outlined above, the Associate Director may be required to:
- Collaborate with other team members to maintain updated content on the MWAH events website.
- Collaborates with Facilities Operations to ensure regular upkeep and maintenance of MWAH event spaces.
- Regularly works with other campus partners to coordinate planning and execution of events taking place at MWAH.
MINIMUM QUALIFICATIONS:
- A bachelor's degree and three years of experience in event planning, OR an equivalent combination of education, training, and experience.
PREFERRED QUALIFICATIONS:
- Successful candidates will possess strong organizational, written, and verbal communication skills and possess the ability to manage multiple projects simultaneously.
- Strong interpersonal and problem-solving skills with the ability to navigate a complex work environment.
- Commitment to delivering excellent customer service, the ability to work collaboratively, and comfort working with ambiguity.
- Experience working with budgets, various technologies including advanced knowledge and experience with Microsoft Office Suite, event management software, database and project management software, and CRM systems.
- Prior experience in advancement, fundraising, alumni engagement, non-profit, or a university setting.
- Flexibility to accommodate changing priorities and deadlines.
- Possess a high level of professionalism and commitment to confidentiality with sound judgment and discretion.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
