Associate Director of GUMC Stewardship, Office of Advancement – Georgetown University

As one of approximately 140 academic health and science centers in the United States, Georgetown University Medical Center (GUMC) seeks to provide, in a synergistic fashion, excellence in education - training physicians, nurses and other health care professionals, as well as biomedical scientists - and cutting-edge interdisciplinary research collaboration, enhancing our basic science and translational biomedical research capacity in order to improve human health. The Associate Director of GUMC Stewardship builds a culture of gratitude and ensures that donors are appreciated, informed, and engaged, ensuring that donors are appropriately and consistently acknowledged and recognized for significant gifts to Georgetown University Medical Center. They are responsible for the management and strategic implementation of the stewardship program for the GUMC, including donor communications, acknowledgments, and donor recognition; manage and execute stewardship reporting to donors of endowed and select current-use funds within GUMC; manage the preparation of investment reports for donors; communicate with administrators in units where funds reside; and manage the data to ensure the smooth completion of these tasks. Reporting to the Senior Director of Stewardship, and working with a broad range of Medical Center colleagues and external constituents, the Associate Director of GUMC Stewardship has duties that include, but are not limited to:

Stewardship of Endowed Funds and Current Use Funds

  • Manages stewardship communications between the university and donors to Georgetown University Medical Center including School of Medicine (with the exception of scholarships), Biomedical Graduate Research Organization, Nursing and Health Studies, the Lombardi Comprehensive Cancer Center, and other funds as assigned.
  • Develops and manages the annual communications plan between the university and donors to funds as assigned. 
  • Writes, edits, and produces annual impact-of-gift reports containing information about fund recipients and their work, and the financial status of funds.
  • Works closely with stewardship and campus colleagues to gather and integrate data, including information about funds, donors, and fund beneficiaries. 
  • Navigate multiple perspectives and stakeholders to develop a common understanding of the importance of stewardship.
  • Manages existing fund records for the reporting portfolio, as appropriate, and ensures that the correct stewardship donors/contacts and fund recipients are linked and that information is kept accurate and current.
  • As needed, conducts research into donors’ giving histories to uncover important gift and fund documentation.

Fund Compliance

  • Conduct research into donors’ giving histories to uncover important gift and fund documentation, when needed.
  • Ensure compliance with donor intent for managed funds and work with the appropriate colleagues to surface and resolve any issues that require further review.

Build Culture of Gratitude with Main Campus Partners 

  • Build relationships across managed units by establishing a consistent schedule of coordination, info-sharing, and info-gathering with unit leadership, program leads, and others, as indicated.
  • Establish programming to increase stewardship expectations in managed units.

Maintenance of Fund Data in GU360 

  • Ensure that GU360 (scalable technology interface) information related to the fund’s portfolio is updated and complete, from the inclusion of new funds with accurate gift tag relationships to ensuring the correct stewardship donors/contacts and fund beneficiaries are linked.

New Initiatives and Other Duties as Assigned

  • Contribute to or manage other stewardship and donor communications initiatives on an as-needed basis.
  • Participate in building dedications, gift celebrations, fundraising, and other events as needed.
  • Serve on Office of Advancement and University committees as assigned/necessary.

Qualifications

  • Bachelor’s degree
  • 4 to 6 years of professional experience, preferably in higher education or non-profit environment
  • Strong sense of responsibility, integrity, thoroughness, attention to detail and timeliness
  • Superior organizational skills, excellent attention to detail, ability to manage complex projects, and proven experience working independently
  • Outstanding oral and written communications skills including writing, editing, proofreading
  • Diplomatic skills and customer relations skills
  • Ability to handle multiple tasks and priorities simultaneously, and consistently meet all deadlines
  • Ability to effectively manage projects that are both data-driven and relationship-driven. 
  • A strong desire to contribute to and participate in the mission of the Office of Advancement
  • Proficiency with MS Office Suite

Preferred qualifications

  • Experience working with donors, preferably in a medical center setting 
  • Familiarity or experience with medical writing and terminology
  • Familiarity with fundraising databases or the Salesforce platform 
  • Familiarity with hospital fundraising, medical research, or communications 
  • Knowledge of Georgetown University
