Position Summary
As an integral part of the Strategic Engagement team, and under the supervision of the Director of Engagement Operations, the Associate Director of Engagement Operations
supports efforts to establish and steward meaningful relationships with current and future donors through communication, including acknowledgments, reports, and programming. This position will also help maintain the database and fund accounts to ensure accuracy in data. The successful candidate will be an analytical thinker who can balance multiple projects and successfully manage and share data.


Job Description

Primary Duties & Responsibilities

  • Assist with preparation of gift and tribute acknowledgment letters for the Dean, other leaders within the School of Medicine, faculty, and Medical Advancement gift officers. 
  • Manage the annual stewardship process for scholarship profiles and reporting, including creating and sending student profiles to donors; creating and sending donor profiles to student recipients; and working with the medical alumni engagement team to plan and execute key scholarship events connecting donors and students. 
  • Assist with coordinating and implementing required stewardship reporting processes for individual donors (or their representatives) who have established scholarships, professorships, research funds, award funds, or lecture funds, etc.
  • Research and compile information to complete and maintain stewardship records in University Advancement database.
  • Assist and follow up with special projects related to donor recognition, including but not limited to special publications, plaques, physical spaces (interior and exterior), and temporary projects.  
  • Process daily acknowledgment reports for gift officers and staff in Medical Advancement, as well as weekly gift reports for Occupational Therapy, Physical Therapy, and the Program in Audiology & Communication Sciences.
  • Perform other duties as assigned.

Preferred Qualifications

  • Preference will be given to candidates who have experience in advancement or development, stewardship writing (including acknowledgment letters and donor reports).
  • Strong knowledge and skill with a variety of software programs.
  • Past experience working in an academic medical center would be an asset.
  • Candidates must possess superior written and verbal communication skills.
  • Demonstrate significant experience maintaining effective relationships with important constituencies. Superior organization skills and attention to detail are critical.
  • Excellent verbal and written communication skills.
  • Experience working with CRMs or other databases.
  • Intellectual curiosity regarding fundraising, science, and medicine.
  • Database and records management skills.
  • Strong interpersonal skills, including the ability to communicate effectively with a wide range of individuals and constituencies within a diverse community.
  • Ability to conduct research, gather data, analyze information, and prepare reports and other materials.
  • Ability to exercise good judgment, demonstrate an understanding of ethics related to advancement activities, and use discretion in interactions with donors, prospects, volunteers, university leadership, and others.
  • Ability to foster effective working relationships within a team environment.
  • Ability to articulate the needs, interests, and accomplishments of the School of Medicine to a wide range of audiences.
  • Ability to perform in an intellectually rigorous and complex environment, including the capacity to interact effectively with important constituencies.


Required Qualifications

  • Bachelor’s degree.
  • Minimum of three years of related experience.

Salary Range
$57,300.00 - $97,700.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
