Reporting to the Executive Director, the incumbent oversees administrative, financial, and program operations for the Arts Initiative at Columbia University, the campus's pioneering venture to make arts and culture a meaningful part of every Columbian's experience. Oversees development and implementation of programs, outreach, and services; formulates and oversees annual operating budgets; and establishes procedures and systems that ensure optimal department operations and compliance with University policies. Plays a major role in day-to-day decision making as well as long-term strategic planning. Supervises three full-time officers, casual and student employees, graphic designer and other external consultants. Other related duties as assigned. Occasional evening and weekend hours.
Program Administration 70%
- In collaboration with the Executive Director, develops and cultivates relationships with faculty, staff, students, and external organizations, fostering an environment that supports and furthers the Arts Initiative's mission
- Develops and implements programming, including Columbia Nights, Lunch with the Arts Initiative, Museum Meetups, and special events
- Oversees orientation-related programs, participation in Days on Campus events, and attendance at student productions and events
- Develops and implements outreach, engagement, and promotion campaigns, including a master schedule of all department efforts
- Oversees the Arts Initiative's campus support programs -- currently ArtsLink and the Student Arts Support Fund -- including outreach, applications, and tracking and analysis of participation data
- Oversee the content and maintenance of the Arts Initiative website, and production of outreach and promotion materials, including postcards, banners, and posters
- Oversee the Arts Initiative e-newsletter and social media platforms, including strategies for increasing participation and development of an annual editorial calendar
Administrative Planning 30%
- Formulate and oversee revenue and expense budgets totaling two million dollars annually; strategize with senior staff to maximize earned revenue potential; develop long-range plans for programs and services
- Oversee financial planning and reporting, including annual budget submission, quarterly fiscal updates, monthly reconciliation, year-end closeout, and long-term projections
- Supervise financial operations of the Ticket and Information Center; oversee box office financial procedures, including ticket sales, bank deposits, reconciliations, sales ledgers, and related reporting; ensure compliance with PCI and Risk Management policy
- Serve as Department Administrator and liaison with central University offices; oversee department access to central University systems and annual re-certification process
- Oversee recruitment and hiring processes for administrative officers and hourly employees, including background checks; supervise payroll operations; manage time and attendance records
- Establish and oversee procedures and systems that ensure optimal department operations and compliance with University policies  
Bachelor's degree required. A minimum of four years related professional experience is required, as is professional experience in the arts or in higher education.  
Must demonstrate capacity to strategically formulate and successfully execute outreach and engagement campaigns. Must have demonstrated skills in preparing and analyzing financial data. Exceptional planning, organizational management, and team-building skills necessary. Superior written and verbal communication skills are required, as is the ability to interact with a highly diverse group of constituents within and outside the University and New York City arts community, utilizing savvy, tact, and discretion. A high level of energy, initiative, and creativity is essential. Strong working knowledge of computer applications, social media platforms, and database software are required. Occasional evening and weekend hours.
