Summary

Under supervision of the Director, Undergraduate Admissions, the Associate Director of Admissions provides leadership and support in the development and implementation of the overall recruitment plan and their assigned territory. Oversees key recruitment strategies, and leads the administration of Recruitment & Admissions with assistance from their Admissions Counselor and Admissions Support Coordinator.  The Associate Director is responsible for targeted recruitment initiatives, developing, supervising and training Admissions Counselors.  The Associate Director leads in developing plans and initiatives to recruit qualified candidates.

Essential Functions

Work with Director, Undergraduate Admissions to achieve enrollment goals for all undergraduate programs.

  • Contribute to the creation and execution of recruitment plans in alignment with Freshmen, Transfer and International student goals.

  • Collaborate with Director to establish strategic direction, priorities and goals for Recruitment & Admissions.

  • Takes leadership in the development, execution, and continuous evaluation of short- and long-term student recruitment strategies.

  • Make data-informed proposals and decisions, linking to measurable outcomes while seeking both standard and creative ways to achieve enrollment goals.

  • Develop and implement a coordinated program of outreach to prospective students, their parents, high school counselors and colleges and universities.

  • Monitor statewide, national and international educational and enrollment trends to continuously improve the admissions process and services.

  • Manage applicants and admitted students to achieve prompt contact and performance activities to achieve weekly and monthly goals.

  • Meet enrollment goals for specific geographical areas and specific populations such as Catholic school students.

Management of a specific recruitment territory of a prospect/applicant pool

  • Plan, organize and implement a data driven recruitment strategy for traditional undergraduate students to meet overall university enrollment goals by utilizing available tools.

  • Travel extensively to assigned recruitment territories including college fairs at high schools and community colleges, individual high school and community college visits, presentations to student clubs and organizations, related recruitment events.

  • Create and implement a creative communication strategy for the prospective students and applicants designed to provide the appropriate information to the student based on their movement along the enrollment continuum.  Tailor messages for prospect/applicant depending on their stage in the recruitment funnel

  • Work autonomously and independently while also participating and working collaboratively with the rest of the undergraduate admissions team to meet enrollment goals.

  • Engage the university community in developing cross-functional partnerships to enhance the prospective student experience.

  • Participate in both on-campus and off-campus recruitment events for prospective students, accepted students, and brand awareness within various communities

  • Maintain regular contact with educational partners and counselor colleagues to build viable prospect and applicant pools of undergraduate students.

  • Arrange and conduct individual interviews with students as well as organize regional group information sessions for students, parents, and guidance counselors.

  • Establish productive linkages with secondary school counselors, educators and related individuals working with prospective college-bound students.

Reporting & Analysis

  • Oversee data compilation and analysis related to student recruitment yield.

  • Generate daily, weekly and monthly reports to track productivity of applications, admitted students, deposited students and registered students.

  • Identify target markets needing additional attention to increase applications, completion of applications and collecting deposits.

  • Generate reports to track ROI on recruitment activities for determination of yield and success of activities.

  • Competitive evaluation of recruitment efforts and territories to make informed decisions of markets to continue/discontinue recruitment efforts, as well as identify markets to begin targeting recruitment efforts.

Develop and collaborate with campus community and outside constituents to promote admissions efforts and build relationships for productive outcomes.

  • Develop and maintain effective working relationships with senior campus leadership, faculty, committees and colleagues throughout campus to ensure a productive working relationship, as well as provide information and needs relating to our recruitment efforts and events.

  • Work with the Office of Financial Aid to ensure coordinated message about access to financial aid and access to the University.

  • Collaborates with the Director of Admissions to target major student influencers and increase awareness and enrollment through the creation and implementation of effective recruitment and outreach.

  • Collaborates with Director of Graduate Admissions to identify and build relationships with colleges and businesses and developing effective business development strategies.

Provides leadership and support to the Admissions Counselor & Admissions Support Coordinators in carrying out the University and territory specific recruitment plan

  • Provide overall leadership in developing internal policies and procedures to continuously improve the admissions process and services.

  • Oversees key recruitment strategies, and is responsible for targeted recruitment initiatives; while developing, supervising and training Admissions Counselors and Admissions Support Coordinators.

  • Assigns and distributes functions, tasks and special assignments based on territory needs.

  • Participate in and collaborate with the Manager, New Student Recruitment & Events in the development of on campus events and campus visit program, as well as ensuring events are planned and carried out efficiently.

Assist with Recruitment and Admissions advising for Undergraduate prospective students.

  • Provides University and program specific information, admissions counseling and general financial aid information to prospective students.

  • Maintains extensive knowledge of all Undergraduate programs & working knowledge of Graduate programs

  • Monitors and responds to all admissions inquiries via email, telephone or in person.

  • Presents University and admissions information at all events.

  • Represent the University at college fairs, high school visits, businesses and other recruitment and yield events.

  • Review and evaluate applicant files to determine admissibility.

Ensure timely review of undergraduate admission applications by team

  • Ensure applicants are apprised of all necessary steps to complete their application and enroll at Barry University

  • Apprise the applicants of needed credentials to receive an admissions decision

  • Evaluate completed applications for university and major/program specific admission criteria as well as potential scholarship opportunities

  • Make recommendations for process improvements to improve work flow

  • Use individual judgement for preparing appeals to academic departments

  • Safeguard the confidentiality of student, staff and university information by exercising discretion in managing records and communication with faculty, staff, parents, alumni and current and prospective students.

Keep abreast and knowledgeable on performing official and unofficial transcript evaluations and complete Transfer Evaluation Reports as needed

  • Ensure institutions are accredited and courses can be transferred.

  • Evaluate transfer transcript coursework and foreign transcript evaluations for Barry equivalencies.

  • Determine credit system of other institutions and convert to semester hours when needed.

  • Use current tools, such as College Board’s Transfer Evaluation system and Transferology to determine course equivalencies.

  • Review all articulation agreements and process evaluation accordingly.

  • Research course descriptions via institution’s websites, course catalogs, syllabi, American Council on Education publications, etc. as needed to determine course equivalencies.

  • Request syllabus when needed to make a transfer credit determination.

  • When new equivalencies have been determined, ensure information is provided to update Transferology.

  • Collaborate with colleagues, faculty and departments to ensure accurate decisions on eqQuuivalencies and processes.

  • Enter transferable courses into the degree audit module.

  • Complete Transfer Evaluation Report and send to student.

  • Communicate with transfer students clarifying next steps in admission process.

  • Extensive statewide, national, and international travel is required.

  • Evening and weekend hours are required.

  • Additional duties as assigned.

  • This position regularly receives work assignments directly from the  Associate Vice President, Recruitment & Admissions.

  • Supervises work of others, including planning, assigning, scheduling and reviewing work, ensuring quality standards.  Is responsible for hiring, terminating, training and developing, reviewing performance and administering corrective action for staff.  Plans organizational structure and position content.

Maintain a high level of confidentiality in dealing with sensitive matters including assisting the Directors with personnel matters, applicant information and contact information of guidance counselors, independent college counselors, high schools and colleges.  Ideal candidate will be a talented, collaborative professional with strong cross-cultural acumen and experience using web-based platforms such as g-mail, skype, and social media platforms, a creative professional with a: “can-do attitude” with an appreciation for technology and its role in higher education efficacy, a passion for education and serving others, and the desire to join a team to be the catalyst to ignite University-wide excitement (i.e. “Ignitus/Ignite Initiative) for the future of Barry University.


Qualifications/Requirements

  • Bachelor's degree is required in any field of study.

  • Master's degree is preferred in any field of study.

  • 5-8 years of work-related experience is required.

  • Comprehensive knowledge of theories, concepts and practices and ability to use in complex, difficult and/or unprecedented situations.

  • Ability to analyze processes and identify solutions and measure progress towards goals.  Must be able to analyze statistical data, perform data anaylsis, exercise sound judgement and discretion.

  • Ability to track all details of large projects to completion. Proficient in project management. Excellent knowledge of continuous quality improvement processes. Implement variety of projects to encourage conversion of prospects to applicants, accepted applicants to enrolled students.

  • Knowledge of Mircosoft Office Suite; Salesforce CRM; Workday; Ellucian Colleague and other office productivity tools as needed.

  • Maintain accurate records.

  • Excellent Communication Skills.

  • Excellent interpersonal skills & demonstrated organizational skills. Demonstrated supervisory and staff management skills.
