JOB SUMMARY

The Baskin Engineering Undergraduate Advising Office provides centralized academic advising for all undergraduate majors in the School of Engineering. The centralized office structure requires that Advising staff stay current with their knowledge of all undergraduate engineering majors and associated minors. The Assistant Undergraduate Advisor interacts with students, faculty, other academic department advisors, and the college advisors to support the success and retention of engineering undergraduate students. The Assistant Undergraduate Advisor provides detailed and accurate information and advice on engineering majors and policies.

Under the general supervision of the Baskin Engineering (BE), Director of Undergraduate Advising, the Assistant Undergraduate Advisor will provide administrative support for the Advising Office and will be responsible for reception and managing daily operations. This position works independently to provide information and advice on academic policies and procedures to Baskin Engineering undergraduate students, including major and minor requirements, and all aspects of course requirements for degree or program completion. This position escalates more complex issues when assistance is needed.

 

APPOINTMENT INFORMATION

Budgeted Salary: $29.24 - $30.70/hour. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

70% - Advising Administration

  • Coordinates Baskin Engineering main advising emails.
  • Advises students one-on-one during peak periods. Assists peer advisors when necessary.
  • Responds to email and telephone inquiries when peer advisors are unavailable or during peak times.
  • Contacts graduating students quarterly regarding exit requirements.
  • Schedules exit interviews for graduating students.
  • Issues independent studies numbers to students and is liaison with Campus Registrar's office regarding Independent Study numbers.
  • Assists with major declaration courses and coordinates student process through the university's Learning Management System.
  • Reviews/advises students on academic plans.
  • Processes graduation checks for students who have applied to graduate. Verifies completion of graduation requirements in the student information system. Contacts students who are missing graduation requirements.
  • Reviews and completes part-time requests, and petitions.
  • Attends advising meetings and training as necessary.
  • Compiles and sends broad announcements to engineering students using Baskin Engineering's email tool, Slug Success.
  • Coordinates transfer summer meeting calendar.
  • Updates students' portals to reflect major/minor changes.
  • Coordinates workshops, information sessions, and other student facing events.
  • Provides general office support for academic advising team.

30% - Advising

  • Provides advice and assistance to students on all aspects of their academic experience, including progression and requirement matters for the School of Engineering.
  • Advises students on a wide range of course possibilities and / or ways to complete degree requirements that may not be clearly defined.
  • Evaluates and advises students on petitions for exceptions to departmental / school / college. Confirms that students have met requirements for degree completion when there are no clear precedents or articulations, such as interdisciplinary programs or when transfer work is involved.
  • Reviews/advises students on plans, answers questions.
  • Reviews and completes student request forms.
  • Works collaboratively with Engineering Staff Advisors and faculty to provide effective advising and information for students.

 

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience and / or training.
  • Basic knowledge of advising and counseling techniques.
  • Ability to multitask.
  • Strong written communication skills.
  • Ability to work independently.
  • Ability to work as an effective member of a team.
  • Strong oral communication skills with the ability to actively listen.

 

PREFERRED QUALIFICATIONS

  • Skills in judgment and decision-making.
  • Problem solving skills with the ability to identify issues and develop original ideas to solve problems.
  • Knowledge of engineering courses and majors.
  • Knowledge of university's policies, procedures, and requirements.
  • Advising experience.

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work all scheduled hours on-site.
  • Ability to work a variable schedule.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
