Job Summary:
The Assistant to the Vice President for Facilities & Auxiliary Services provides administrative support for the Vice President for Facilities & Auxiliary Services as well as the Associate Vice President for Auxiliary Services. Responsibility summary includes providing administrative support; obtaining, compiling, verifying, conforming and analyzing/summarizing data to assist with decision making, efficiency and record keeping. Assisting management with providing responses to routine questions and concerns.
Required Qualifications:
1. High school diploma or GED required. Completion of commercial courses required related to general office and administrative skills, or demonstrated equivalency through work experience.
2. A minimum of three years of experience in a complex office environment, including two years of experience in maintaining a digital record keeping system or successful completion of specific courses in computer record keeping.
3. Basic level skills with Microsoft Word and Outlook are required. Basic level skills with Microsoft Visio and PowerPoint are preferred. Must be able to learn and become proficient with all other University provided applications including, but not limited to, Self-service and any other University standard application within first three months of employment or subsequent three months of introduction.
4. Intermediate level Excel skills are required, including importing data from other formats, converting, validating, conforming, identifying and removing duplicate data, summarizing and analyzing data. Must be able to work with number, date, day, time daytime, accounting and other data formats.
5. Demonstrated ability to address multiple, unrelated, frequently detailed and complex tasks simultaneously in an environment where priorities are frequently changing.
6. Demonstrated oral and written communication skills.
7. Must be available for work at the Florham Campus, Madison, NJ or other offsite venues such as MetLife Stadium for Commencement as required. Valid driver’s license and accessibility to a car desirable for travel between campuses
8. Must be available to work overtime hours as required.
9. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
