Job Description

Purpose:

The Assistant to the Vice Chancellor provides direct administrative support to the Vice Chancellor and Dean of Engineering, Director of the Texas A&M Engineering Experiment Station. The individual works in collaboration with other members of executive leadership to monitor, implement, and evaluate complex initiatives on internal and external matters important to the organization. This position assists in administrative matters relating to development, intercollege and interagency communication, and personnel. This position reports directly to the Vice Chancellor and Dean of Engineering.

Responsibilities:

  • Provides direct administrative support to the Vice Chancellor and Dean of Engineering.
  • Tracks prominent issues, actions, and priorities of the organization.
  • Coordinates and monitors initiatives, actions, correspondence, and stewardship to ensure timely and successful completion.
  • Proofs and prepares correspondence for signature and distribution.
  • Oversees administrative support operations, methods, and procedures to maintain flow of work and desirable levels of productivity.
  • Manages all calendar and appointment scheduling of the Vice Chancellor and Dean of Engineering, which includes complex, sensitive, and confidential administrative matters.
  • Establishes, coordinates, and maintains calendar of deadlines, submission schedules, and events.
  • Proactively organizes materials and briefings as required, providing context and background information on issues as needed.
  • Oversees assembly of action packages for decision by the Vice Chancellor and Dean of Engineering.
  • Anticipates, identifies, and troubleshoots issues of concern or significance.
  • Exercises discretion to provide timely information and necessary updates on issues of interest.
  • Responds to inquiries and handles sensitive and confidential data.
  • Works in collaboration with key members of Engineering in areas of operations, development, events, alumni and donor relations, speechwriting, legislative briefing and other.
  • Performs other related duties as requested or when necessary.

What we need:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Six years professional administrative experience.
