This position provides executive level support to the Divisional Deans for Arts and Natural Sciences, as well as the Assistant Dean for Personnel.  These two Divisions represent 14 academic units (of the 39 in the whole College) as well as numerous centers.  The Assistant Dean for Personnel oversees the management and resolution of disputes, and evaluates and responds appropriately to the many issues that arise in the normal course involving faculty and staff.  The role and responsibilities of the deans of the College of Arts & Sciences are central to the teaching and research missions of the College and University.  Effective, responsive deans are critical to the successful operation of the College and their success is dependent upon a skilled executive assistant.  The support provided by this position provides the deans with an organized and stable foundation from which to function and succeed. Specific duties include:

Executive Calendar, Committee and Operational Support:
Manage three complex executive level calendars using Outlook and a variety of scheduling tools available; compose meeting invitations and confirmations; research, prepare, and distribute background documentation; resolve conflicting priorities; handle sensitive personnel issues with discretion. Organize regular monthly meetings and follow-ups as necessary for the Arts and Natural Sciences Divisions.  Answer questions from faculty and chairs regarding administrative procedures and policies; arrange and reimburse travel for Divisional Deans; organize Divisional retreats as requested; issue calls and receive applications for faculty research funds in the Arts; assist Divisional Deans as needed with faculty searches.

Special Projects: 
Coordinate Scholarship calls (determine number and size of awards, broadcast call for nominations, collect nominations and organize for reviewers, notify recipients, determine distributions and notify College Business Office and Stewardship Office); Coordinate Foundation Calls, such as the Mellon or Hanauer (announce call, collect proposals and organize for review and selection).

Other: 
Provide backup support for Humanities and Social Sciences Divisional Deans in absence of the other Assistant to the Dean; filing, general office support as requested (e.g. locking office in evening), interact with students, staff and other community members.
Other duties as assigned.
