The School of Law has an outstanding opportunity for an Assistant Registrar. 

The Mission of the UW Law Academic Services team is to provide excellent service and official academic information to students, faculty, staff, central administration, and external constituencies. The Assistant Registrar will work hand in hand with the Registrar/Director of Academic Services. Under the general direction of the Director of Academic Services, this position is responsible for assisting with enrollment and academic record functions and for coordinating reporting, exam administration, website updates, FERPA compliance, and maintenance of the Student Database. The Assistant Registrar provides critical support to students, faculty, staff, and third-party agencies in the areas of graduation and transcripts, enrollment reporting, student relations, petitions, and appeals.

RESPONSIBILITIES:

REGISTRATION

Pre-registration
• Independently make decisions, establish rules and limits regarding course registration
• Evaluate requests for exceptions to rules
• Work with registrar, faculty, and graduate programs to determine and administer enrollment caps on classes.
• Track registration of students and assist in determining who gets into which class as well as evaluating and implementing process improvements related to pre-registration, add code distribution, wait lists, and any changes.
Registration
• Advise student in navigating the registration process; assist students with registration forms and transactions, issues and problems, and questions, as needed.

EXAM ADMINISTRATION

• Coordinate staffing of exam administration and other assessments each quarter.
• Manage and implement process improvement to ExamSoft exam-taking software, in collaboration with the registrar.  This includes managing exam takers, importing new students and updating data as needed.  Build exam templates for midterms and final exams in collaboration with faculty, the registrar, and course support.
• Manage exam accommodations and rescheduled exams.
• Assist students with exam taking questions, technical difficulties, etc., as needed.

SERVICES

• Advise students on academic services-related and other matters as needed.
• Serve as FERPA expert point of contact, coordinating trainings and advising faculty and staff when questions arise.
• Maintain website to keep information up to date.
• Present at training and information sessions – degree requirements, registration, exams, etc., as needed.

REPORTING/DATA

• Collaborate with the registrar in reporting and data analysis tasks – pulling processing and analyzing data for ABA, US News, NALP, LSSSE, and others as needed.
• Facilitate requests for student and enrollment data to campus constituents, accreditation bodies, and others – using the data tools available, and developing new tools and methods, in collaboration with Tech Services and others as needed.
• The Assistant Registrar tracks key performance indicators, collaborates, and analyzes feedback to improve business processes and service.

COURSE SCHEDULE

• Work with the registrar in creating the law school course schedule for each academic year.
• Manage Course Catalog application – in collaboration with the registrar and tech services, and with support from the program coordinator.

STUDENT RECORDS

• Implement and administer electronic document and workflow management.
• Collaborate with the registrar in maintaining and improving the student database.
• Prepare and deliver student certifications – good standing, graduation, Rule 9, Bar exam, etc.

GRADES

• Assist the registrar with grade collection and entry.
• Other duties as assigned.

MINIMUM REQUIREMENTS:

• Bachelor’s degree in Education, Public Administration, or related field and 3 years of related work experience

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• Demonstrated experience in customer service, including dealing with difficult individuals, responding to exception requests and complaints
• Experience in an educational environment. Experience with secondary and post-secondary student records, admissions, registration, confidentiality, and records management requirements and policies
• Knowledge of FERPA laws, regulations, and guidance

DESIRED EXPERIENCE
• Strong level of comfort with technology and making data informed decisions.
• Orientation towards customer service, and experience managing high volume emails, phone calls and in person contacts.
• Appreciation of the complexities of a large public flagship institution.
