Position Summary:
The Assistant Registrar (AR) for Professional Education Programs is responsible for the management and execution of Registrar related administrative functions for the non-credit Professional Education programs offered by the University. The position will collaborate with the Registrar’s leadership team as needed to manage records maintenance, course creation, compliance, and calendaring for the non-credit programs.
This position will work closely with the professional education and lifelong learning programs established in each college and will collaborate with RO leadership on compliance, policies and processes for non-credit programs. Additionally, the AR will be the main point of contact for students and faculty to troubleshoot registration and scheduling issues. The AR will create student/program coding structures in Banner, validate term offerings, create course sections, room non-credit courses, and set up registration/drop/add rules each semester. The AR will assist in the maintenance of the non-credit course catalog in Banner and in the setup of the Learning Management System (LMS) as it relates to the arrangement of course offerings and grading modes.
The Assistant Registrar will also provide end of term reports as needed for non-credit program academic review, and post awards to the student record. The AR will lend support to the School Certifying Official (SCO) in gathering catalog information and data points for compliance with VA education benefit regulations and in providing student assistance for student veterans. Assist with course creation of the for-credit programs and with freshman scheduling during peak processing times. The AR for Professional Education Programs will work toward establishing a centralized location for all education records related to non-credit and continuing education programs to ensure accuracy, consistency and efficiency in records maintenance.
Duties and Responsibilities:
  • Manage the course creation process for all professional education and lifelong learning non-credit programs across all colleges. Become a subject matter expert on non-credit offerings and the course creation process within the student information system (SIS) and learning management system (LMS). Collaborate with colleges on establishing their parts of term and timelines for course creation and course changes. Manage the maintenance of the non-credit course catalog, process course restrictions; assign academic space to courses.
  • Design and execute all processes related to registration including creating parts-of-term, registration codes, and registration rules specific to non-credit courses. Monitor registration and troubleshoot student registration issues as they may arise. Collaborate with Bursar on dates and refunding rules.
  • Establish and execute all processes and procedures related to the non-credit programs. Create and maintain a processes and procedures manual specific to the non-credit program offerings. Ensure the compliance protocols are followed in relation to internal and external policies relating to non-credit programs.
  • Develop and execute a plan to establish a centralized location for all education records related to non-credit and continuing education programs to ensure accuracy, consistency and efficiency in records maintenance by working with all University non-credit and continuing education providers and UNIT.
  • Assist School Certifying Official with supporting student veterans enrolled in non-credit programs, as well as collecting data points and catalog information for compliance. Assist with the course creation of for-credit programs and freshman scheduling during peak processing times.
  • Provide reports as needed on student and program enrollment, program history, course offering and utilization, etc. Develop and maintain student and program coding structures in Banner.
  • Coordinate with the colleges as well as the Bursar and Veterans Affairs, and occasionally with Financial Assistance, on matters related to billing, VA compliance issues, and financial aid.
Minimum Qualifications:
The successful candidate must:
  • Have a Bachelor’s degree.
  • Have 3-5 years of experience years of related experience in Registrar’s Office or university administrative setting, preferably related to student administrative functions.
  • Ability to work effectively and collaboratively with internal academic and administrative offices as well as with a nontraditional student population.
  • Have experience that supports the establishment and maintenance of positive working relationships with diverse constituents.

Preferred Qualifications:
  • Knowledge of continuing education and/or non-traditional programming.
  • Knowledge of BANNER student information system and familiarity with reporting tools.
  • Proficiency with Microsoft applications, advanced knowledge of Excel.
