The Montana Digital Academy (MTDA) invites applications for an Assistant Program Manager to join their dynamic team and help deliver innovative programming to students across the state of Montana.  The person in this position will be responsible for overseeing day-to-day operations, resources, and developing and implementing strategies to improve operational efficiency and effectiveness. 

Duties and responsibilities of this position include but not limited to:

  • Manage meeting and conference logistics for EdReady and Distance Learning Programs, including travel arrangements for both programs and large MTDA in-person meetings and on-site conferences.
  • During peak times, provide support to colleagues and customers via the help desk.
  • Manage department phone lines and communication.
  • Along with the Executive Director, facilitate MTDA Governing Board relations and meetings, including compliance with opening meetings laws.  Take and compile minutes for MTDA Governing Board meetings to send to the Executive Director.
  • Manage hiring paperwork and letters of offer with affiliated faculty.
  • Manage memos of understanding with Montana school districts, including teacher payment and data privacy agreements.
  • Work closely with the Assistant Director and Instructional Program Director during the MTDA teaching faculty evaluation process.
  • Reconcile and track procard (company credit card) expenditures.
  • Create and manage test accounts for external systems.
  • Implement components of the MTDA and EdReady marketing plan.
  • Manage employee and faculty accounts in all web-based systems.

Required Skills
  • Ability to problem solve, multi-task and work quickly and efficiently among frequent interruptions.
  • Ability to develop, implement, and improve systems to manage critical staff functions like travel and hosting events.
  • Ability to complete projects independently without direct supervision or collaboratively with other staff as needed.
  • High capacity to organize, prioritize, pay attention to detail, solve problems and make decisions with almost complete autonomy and with proper treatment of confidential and sensitive information.
  • Demonstrated strong verbal and written communication skills.
  • Skill and experience working with cloud-based productivity tools like Google Workplace and Microsoft Office 365.
  • Attention to detail and organizational skills.
  • Ability to file and keep general and confidential records.
  • Demonstrated skill in the use of standard office equipment ( i.e. computer, printers, copiers, fax machine, and multi-line phone system) with the ability to learn and operate new equipment and software systems.

Minimum Required Experience
  • High School diploma and two (2) years of related experience or an equivalent combination of education and experience.

Preferred Qualifications

·         Associate’s or Bachelor’s degree in education, business management, accounting, non-profit administration, office management, project management, communication studies, or similar course of study

Work Schedule:                 Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm.

Salary:                                $20.734/hr Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Probationary Period:        Six months minimum
