Job Summary

The Assistant Operations Manager is responsible for carrying out the day-to-day operations, customer service and housekeeping duties of the Operations unit, which includes sales, emergency procedure/evacuation, daily financial reconciliations, customer service, administrative duties, promotions, and special events

The Assistant Operations Manager’ position involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services include activities in finance and human resources and may also include Information Technology (IT), facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.

UCSF Fitness & Recreation inspires growth and health on the UCSF campus through fitness, community, and play and this position under Fitness & Recreation Operations is an integral part of the department and is responsible for providing excellent customer service and maintenance of the Fitness and Recreation facilities.

The Assistant Operations Managers work under direct supervision of the Operations Manager and are responsible for carrying out the day-to-day operations, including but not limited to customer service for fitness members and guests as well as internal support for program managers and staff, adhering to cleanliness standards of the facilities, assorted clerical duties, understanding and being able to act upon emergency procedure / evacuation, daily financial reconciliations, understanding and participating in promotions, and special events.


Department Description

UCSF Fitness and Recreation operates two fitness centers at UCSF.  We provide fitness and wellbeing services to UCSF students, faculty, staff and community members through a broad range of fitness, recreation, aquatics, personal training, outdoor programs, and health and wellness programs.

Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3+ years of related experience.
  • American Red Cross CPR/AED Certification (active or within 6 months of employment).
  • Office technology competencies must include phone & voicemail system, Microsoft word, Microsoft excel, e-mail systems, faxing, copying, printing, scanning, FileMaker, program database system, online member access/booking (CSI), When 2 Work staff scheduling software, etc.
  • Highly developed interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use sound judgment in responding to issues and concerns.
  • Customer service experience.
  • Outgoing, friendly, and warm.
  • Able to motivate & support others in their quest to be healthier and fitter.
  • Ability to prioritize and accomplish multiple tasks with deadlines in a customer service setting under minimal supervision.
  • Ability to work independently and as a team member.
  • Demonstrated skill necessary to collect, organize and disseminate information upon request.
  • Ability to make sound judgments.
  • Ability to conduct presentations to large groups on and off campus.
  • Solid knowledge of common University-specific computer application programs.
  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Certified Pool Operator (CPO) Certification or equivalent.
  • 2 years customer service or operations experience.
  • Knowledge of UCSF Fitness & Recreation.
  • Experience in fitness and/or organized sports.
  • Experience in hospitality industry.
  • Knowledge of the UC systems, forms, policies, and structure. Knowledge and use of University guidelines regarding PCI compliance, cash handling, RFR, etc.
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.

License/Certification

  • American Red Cross CPR/AED Certification (active or within 6 months of employment).
