Position Summary:
The Assistant Director will support the daily operations of the VSB Summer and Business Minors Programs by actively developing and implementing programmatic, educational, and other key strategies of the the Summer & Business Minor Programs. The Assistant Director will report to the Director of VSB Summer & Business Minors Programs and will oversee key responsibilities such as student recruitment; marketing and promotional strategies; administrative management of daily operations; prospective and current student advising; and development of future program offerings.
The Clay Center within the Villanova School of Business provides undergraduate business students with supportive resources to make navigating their VSB education experience as smooth as possible. The Clay Center offers personalized, comprehevisve informatino to assist students in gaining a clear understanding of what is needed to pursue their degree at VSB, as well as to support students’ exploration and pursuit of careers following graduation. Named in honor of the late VSB Dean Emeritus Alvin A. Clay, who was a dedicated alumnus, faculty member, and Dean, the Clay Center support eh well-being of VSB undergraduate students, serving as a “one-stop-shop” that offers a variety of services.
The Clay Center oversees programs for non-VSB students, two of which are part of VSB’s Summer Programs.
Summer Business Institute (SBI) – Business Minor: As part of VSB’s summer programs, SBI is a 16-credit, 10-week online summer program which focuses on business fundamentals and professional development.
Summer Business Academy (SBA) – Business Certificate: Also part of VSB’s summer programs, SBA is a 6-credit, 4-week online summer program introducing students to the business landscape, and includes a professional development course.
Academic Year Business Minor – Another program to which non-VSB students may apply. Accepted students take the program’s required courses along with VSB students, during traditional academic-year semesters.

Duties and Responsibilities:
SBI & SBA Marketing and Recruitment:
  • Oversee the implementation and project management for all marketing campaigns to meet enrollment targets and revenue goals, report back to director to analyze marketing ROI.
  • Manage student marketing interns, including their recruitment and hiring; develop calendar of informational events; and assist with developing multi-media marketing collateral and communications (hard copy, electronic, and social media), in conjunction with VSB Marketing & Communications team.
  • Facilitate program promotion to academic advisors and university offices, prospective students and families, the Villanova community at large, and non-Villanova prospects.
  • Actively contribute new ideas and innovate ways to expand the impact of our VSB Summer Programs.

Summer Programs Operations and Logistics:
  • Manage administrative processes related to SBI & SBA applications and scholarship initiatives.
  • Oversee application platform, track admission data and provide benchmarking reports regularly. Support application review process.
  • Provide enrollment data/information to VSB and University offices.
  • Oversee SBA certificate creation and distribution and tasks for annual programs’ launch, closing and/or post-program celebratory events, etc.
  • Collaborate with various University offices as appropriate, including Registrar, Bursar, Financial Assistance, UNIT and University Shop.
  • Assist with planning and delivering orientation program, and other special events.


Management of Business Minor – Summer Programs & Academic Year:

  • Report and track discipline-specific VSB minor declarations; communicate with Registrar and VSB departments for student record updates regarding business minor additions and drops.
  • Create, manage and maintain current student lists, by semester.
  • With assistance of Clay Center data management team, oversee graduation certification and data and statistical reports as requested, related to business minor/certificate programs.
  • Monitor and update website for each of the programs.
  • Oversee p-card expenses and reporting.
  • Submit event notices to university event management portal and confirm space & event logistics with appropriate staff, e.g. Villanova or VSB Facilities Management.
  • Assist with constituent inquiries (students, families, campus partners & advisors) and with advising students regarding VSB program and course requirements and options.
  • Explore opportunities for additional business-related programs for non-VSB
    students.

Academic Year Business Minor Operations and Logistics:
  • Facilitate administrative processes such as generating May application reports and tracking accepted cohort.
  • Assist with course registration and related advising as appropriate or requested.

Special Projects:
  • Represent the Clay Center at various campus events sponsored by VSB and/or the University. Contribute to Clay Center initiatives.
  • Stay connected to trends within advising, business programs, and higher education by participating in relevant professional development activities and/or associations
  • Perform additional duties and assist with special projects as assigned.
Minimum Qualifications:
  • Bachelor’s degree
  • 3-5 years of professional experience with increasing levels of responsibility.
  • Ability to work independently and as a team member
  • Strong marketing and customer service orientation
  • Ability to multi-task and work collaboratively with various constituencies
  • Excellent organizational and communication skills
  • Detail-oriented and diligent to follow up and complete tasks for assigned projects.
  • A positive, pleasant attitude with strong problem-solving skills
  • Knowledge of marketing strategies
  • Excel proficiency

  • Master’s degree or equivalent combination of education and experience
