As a member of Undergraduate Admissions (UA) and reporting to the Associate Director for Visits and Events, the Assistant Director for Visits and Events in Undergraduate Admissions leads all aspects of on-campus event planning logistics coordination and implementation with direction from undergraduate admissions leadership; provides leadership and contributes to strategy planning for 10-20 annual large and small on-campus events and supports strategy development for 50-60 off-campus and virtual recruitment events; in collaboration with the associate director, updates and analyzes effectiveness of program changes based on audience needs; assists with the planning/development of recruitment programming based on utilization of data systems and admission counselor knowledge of territory; researches and recommends new event types, locations, and elements in support of office goals; coordinates logistical aspects and event planning for centrally managed outreach and recruitment events for prospective/admitted freshman and transfer students, their families and school counselors; coordinates event planning with select partner offices (e.g. Office of Diversity and Inclusion, Honors and Scholars, Student Financial Aid, Education Abroad); in partnership with Academic Relations, supports academic/college sessions for recruitment events; utilizes reporting tools such as Empowering Market Analysis (EMA) and Report Manager; tracks data, analyzes, and evaluates effectiveness of recruitment events and provides constructive feedback to event collaborators; assists with additional events support for all Undergraduate Admissions events as needed; manages event budgets and monitors event expenses, supplies and publications and makes recommendations for event changes based on budget allowance; supervises professional staff member on the visits and events team; employs a comprehensive performance management process including on-going training, setting expectations through performance planning, provides on-going coaching/mentoring and evaluates staff; hires, trains and supervises 5-10 student employees; coordinates event planning (e.g. Office of Diversity and Inclusion, Honors and Scholars, Student Financial Aid, Education Abroad); in partnership with Academic Relations, supports academic/college sessions for recruitment events; leads logistical support, communication, and collaboration with academic partners across the university; conducts space reservation process for all on-campus events in collaboration with the Ohio Union and other space coordinators in collaboration with visits and events leadership; collaborates with staff in event planning ranging from securing location to preparation of event logistics and materials; learns and uses the CRM, Student Information System, Blackthorn registration system, and other technologies to perform timely and accurate entries into databases regarding student information, call/email activity and other processes, performs data validation; manages electronic workflows. Manager and administrator of the events reservation systems and supports users of it, communicating with enterprise team to troubleshoot, resolve, and update platform on a regular basis; serves as user expert in Blackthorn registration system. Trains other users; learns and maintains knowledge of the areas within the office and university to best direct questions from staff and guests; counsels and corresponds with students, families, university departments, or other stakeholders regarding Ohio State visit and event needs, policies, procedures, and general information over the phone, via email, and in person; assists with conducting daily visit operations, including registration and customer service; represents Visits and Events on campus committees and at meetings; engages in public speaking; reviews applications (domestic, international, transfer, special population) through our holistic application review process and makes admissions recommendations (actual time commitment will fluctuate through the year), coaches and monitors review progress for direct reports on an on-going basis; participates as an active member of UA through membership on committees; researches and resolves problems; serves as a resource for staff in securing students and young alumni for events both on and off campus; ability to work flexible schedule including evening and weekend hours required; occasional travel required; completes special projects and other duties as assigned.

Target hiring salary is min $53,800 - mid $71,700. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications.

Minimum Education Required Bachelor's Level Degree or equivalent degree and experience Education desired: Master's Degree

Required Qualifications:

  • 4+ years in higher education or event planning/hospitality related area
  • Proven experience in event management, program planning and administration
  • Demonstrated leadership in event planning
  • Ability to be flexible and adapt to ongoing changes
  • Excellent oral, written, and interpersonal skills to communication with individuals at all levels
  • Successful supervisory experience
  • Strong organizational skills
  • Experience with Microsoft Office and event planning databases
  • Customer relations and conflict resolution skills

Desired qualifications: two or more years of higher education event planning; high degree of organizational skills and the ability to swiftly and adeptly manage multiple projects and shifting priorities at one time; database management; experience with Salesforce, Blackthorn and PeopleSoft
