What we want

The Assistant Director position is responsible for advising and administering the major international programming areas of the Memorial Student Center which, by nature, requires an experienced staff advisor due to program complexity, fiscal accountability, visibility of activities, risk management, contact with former students, fundraising requirements, student development needs and organizational prioritization. Supervises one Student Development Specialist III, and an Administrative Associate IV. This position will also work with the department’s DEIA training. Also provides input into the decision making and managerial practices of the MSC as part of the MSC Leadership Team (budgeting, strategic planning, staffing, assessment, etc.).

Employees Supervised: One – Student Development Specialist III and One – Administrative Associate IV

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Six years of related experience.

Required Knowledge, Skills, and Abilities:

  • Knowledge of spreadsheet and database applications.

  • Ability to multitask and work cooperatively with others.

  • Ability to communicate clearly and effectively to ensure understanding

Preferred Education and Experience:

  • Master’s degree in student affairs, counseling, or related field.

  • Related extra-curricular experience and/or student development experiences.

  • Program planning experience and experience working with college aged students.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of student development theory, event management, risk management skills and experience in leading groups in internal travel. 

Responsibilities

  • ADVISEMENT - Oversees the L.T. Jordan Institute for International Awareness and is responsible for its programs and services. Advises student leadership team in membership recruitment, retention, and student development. Monitors committee’s financial development and implementation with special attention to budget planning, identifying alternate funding sources, and fundraising activities. Assures that programs and activities produced in the name of the Memorial Student Center contribute to the mission of the University and reflect positively on its image. Educates students to fulfill their responsibilities in the following areas: program conceptualization, promotion, production, evaluation, personnel selection, training, motivation, management, fiscal accountability, marketing research, interpersonal and leadership skill development, goal setting and decision making. Works to assure that students are given optimal opportunities for personal, leadership and managerial skill development through their work in the Memorial Student Center and association with its members. Advises student leadership in committee on formulating a leadership structure and identifying conceptual themes and programs/ program formats, securing sites, and assists the students in planning financial strategies. Trains and teaches student leadership skills that will assist them in accomplishing the committee goals. Travel with students when necessary for organizational business. Monitors committee financial development, assist the students in identifying funding resources and monitors financial status with special attention to budget planning. Directly interacts with campus entities in coordinating fundraising efforts. Assists students in networking with campus and community entities to further committee processes. Negotiates, develops, and oversees administrative details. Advises students in relation to career choice, academic challenges, personal & leadership skill development, and a variety of other concerns impacting their abilities to function successfully in the University community. Refers students for professional assistance when appropriate. Assures that all applicable University policies and procedures are communicated and adhered to. Responsible for determining educational, social, entertainment, and physical student needs; also responsible for creating, administering, and evaluating various student affairs programs and activities, which contribute to the learning environment and the overall quality of student Assists student leadership in developing workshops and training sessions on cultural sensitivity and risk management. Works with students in developing media to support overall marketing strategies. Serves as a liaison with the Education Abroad Office and other University departments. Assist committees in creating collaborative relationships. May serve on Program Assemblies (approval process for departmental programs)

  • ADMINISTRATION - Performs administrative duties such as preparing monthly and annual reports and analyses and participating in administrative decision-making processes. Works closely with the MSC Business Office to initiate timely payment of bills, proper issuance of fiscal receipts, daily deposit of collected monies, maintains Committee/Institute areas financial data through the use of departmental financial computer applications and assures proper adherence to university fiscal policies and procedures. Manages the distribution of the MSC Overseas Loan Fund (unless otherwise designated) and the L.T. Jordan Fellowship Program. Manages the Internship and Living Abroad Programs and the International Service Programs in several countries. Maintains comprehensive files and records and submits monthly reports and annual evaluations detailing international area activities and programs, personnel information, financial data, and other pertinent information. Actively works with constituents of the Memorial Student Center in securing contributions through fundraising efforts. Maintains appropriate equipment inventory as required. Works with other university departments in developing the international thrusts of the university. Provides budget analysis to the MSC Director, Senior Associate Director and Business Manager as required. May interact with high-ranking University officials, governmental dignitaries, former students, and other contributors of funds. Negotiates, develops, and oversees the execution of contracts. Seeks to identify and participates in professional development opportunities that are designed to increase understanding and skills as related to student affairs and this position. Works with other MSC Staff on training for department in DEIA competencies.

  •  SUPERVISION - Supervises one Student Development Specialist III position (the SDS III usually advises the International Student Association) and one Administrative Associate IV position. Responsible for selection, training, and evaluation of performance of personnel under his/her supervision. Gives general instruction and regular review to classified and non-classified staff and student workers. Assists in overall staff selection and training as required. Performs related duties as required by the MSC Director or Senior Associate Director.

  •  LEADERSHIP TEAM RESPONSIBILITIES - Serves as a member of the department Leadership Team providing input in the day-to-day and long-term decision-making processes of the Memorial Student Center. Works toward the formulation and implementation of departmental strategic plan initiatives. Serves as the departmental liaison regarding Division of Student Affairs and University diversity initiatives. Participates in professional associations and activities to continue personal development and advance the knowledge and skill bases of the profession.

  •  OTHER DUTIES AS ASSIGNED - Participates as a member on one or more University-level committees which deal with subject matter related to the Division of Student Affairs or programs related to student needs. Participates on special task forces as required whose goals relate to the development of resources, programs, or facilities related to the Memorial Student Center and to the Division of Student Affairs. Performs other duties as assigned.
