Position Summary

Under the direction of the Associate Director of Operations, and as an integral member of the Admissions and Financial Aid Team (“AFA”), the Assistant Director/Systems Analyst works as part of a team responsible for the design, maintenance and support of the Admission CRM, Technolutions Slate, and plays a key role with respect to systems, technology, and data management for the Office of Admissions. The primary role is to provide technology expertise and support in the development, management and usage of systems, databases, electronic communications, reports, and data used by Admission to recruit, admit and enroll students. The Assistant Director/Systems Analyst provides technical and data-related services, support, and training to AFA related to records management and data retention, reading online applications, communications and social media tools, form building, event management, and volunteer management. The Assistant Director/Systems Analyst is responsible for managing the department's enrollment systems and processing and for the set-up and maintenance of the CRM system's infrastructure so that prospective student data is processed in automated ways for efficiency and reduction of manual data entry errors. In addition to working with the Associate Director of Operations, the incumbent will independently keep up to date the information systems, admitted student website and admissions part of the SIPA website.


Responsibilities

  • Superuser and administrator of Admissions CRM, Technolutions Slate, and Student Information System (SIS), SSOL.
  • Serve as the primary technical contact in daily operations, provide analysis, consultation, documentation, maintenance and administration of Admissions Office SIS and CRM and Document Imaging software solutions. This is accomplished by gathering and assessing information to define requirements, developing procedures, developing test plans, creating reports, querying data, and liaising with IS staff.
  • Serve as a systems administrator for the Admissions office enrollment management systems, responsible for investigating, configuring, deploying, ​managing, and maintaining available systems, functions, and features, optimizing use for the Admissions Office.
  • Build, test, and maintain system infrastructure to ensure accurate data from prospect to new student status.
  • Oversee decision release notification through Slate's Delivery Campaign functionality via email and mail.
  • Complete Daily Duplicate Detection and resolution of any duplicates created by the systems, Slate or SIS.
  • Manage all secondary data entry related to records to ensure a holistic view for admissions recruiters of all activities participated in and communications received, including but not limited to: Transcript uploads, interaction recording, ad-hoc record updating.
  • Participate in virtual, hybrid, and on-campus events such as Open Houses, Admitted Students Day, New Student Orientation, and other admissions or student affairs-related events. 
  • Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
  • Maintain effective working relationships to ensure institution-wide teamwork.
  • Consistently demonstrate high standards of integrity by supporting the SIPA mission, vision, and values and adhering to institutional policies.
  • Maintain a high regard for student privacy in accordance with the FERPA privacy policies and procedures.
  • Analyzes and documents user needs, existing and new policies, processes, procedures and operational methods to consider possible improvements to new and existing systems
  • Defines and documents business requirements and test cases for system developments
  • Problem solves in areas such as system design, input/output requirements and procedural flow between departments and/or business systems
  • Performs testing of new systems, upgrades and patching of existing systems; may include developing test plans
  • Conducts and documents results of testing
  • May develop instructional materials, training and job aids
  • Responsible for data management, reporting and technology processes for the Office of Admission, with emphasis on developing and utilizing system imports, creating and updating queries and reports, and auditing data to ensure data integrity across all systems.
  • Monitors an excess of 3,000 applications annually. Through the Slate application system, manages the lifecycle of an application throughout the admissions process.
  • Manages, implements, and deploys communications for annual events and mailings from Slate to prospects, applicants, and admitted students.
  • Manages Slate-related reporting and data requests, providing statistical analysis and summaries of enrollment data, working closely with the Associate Director of Operations.
  • Works with admission staff with database reporting and analytics requests from Executive Director, Dean’s Office, and other stakeholders including weekly reports for SIPA Master degree programs.
  • Works with the Associate Director of Operation on Slate system development and maintenance.

Minimum Qualifications

  • BA degree or equivalent required and a minimum of two years of directly related experience.  
  • Proficient in, or experience with, client relationship management systems (CRM), preferably Technolutions Slate.
  • Excellent organizational skills, with attention to detail.
  • Effective verbal and written communication skills.
  • Ability to always conduct business with a high level of integrity and complete confidentiality.
  • Ability to be sensitive to and respond to needs/concerns of students, faculty, staff, and the public.
  • Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.
  • Strong customer service orientation with a deep commitment to valuing diversity and contributing to an inclusive working and learning environment

Preferred Qualifications

  • Strong understanding of complex databases, with experience in higher education databases, preferred. 
  • Previous admissions, marketing, project management, or analytical experience preferred.
