Job Summary:

JOB SUMMARY:
Reporting to the Senior Director, Donor Services and Stewardship, the Assistant Director is responsible for supporting the growth of donor contributions to the University of San Francisco by managing elements of the stewardship programming at USF. Through cultivating existing relationships, and supporting the establishment, retention and growth of new ones, the Assistant Director will strengthen USF’s development program. The Assistant Director will be responsible for leading and managing initiatives aimed at elevating the USF donor experience. These initiatives include custom stewardship opportunities including writing and producing impact and financial reports, managing USF’s giving societies, and creating unique and exclusive donor experiences.
The Assistant Director will ensure that stewardship and donor reporting practices will further the goals of both the University and the development division. By working across the Division and with campus partners, the Assistant Director will work closely with the Director on overall strategy, measurement and efficacy of Stewardship activities, and manage a portfolio of stewardship programming.
The Assistant Director will use exceptional attention to detail and time management to accomplish their goals through project planning, management, ownership and follow through to ensure the University’s donors feel appreciated, connected, and informed about the impact of their gift(s). Our stewardship activities will educate, engage, inspire and thank donors for their generosity. Stewardship and donor reporting activities are continually evaluated to ensure they are well received by our stakeholders.

Full Job Description:

ESSENTIAL RESPONSIBILITIES:

The efforts of the Assistant Director will support the long-term USF Development strategy to enhance the University’s connection to a wide array of donors. The Assistant Director will work in close collaboration with colleagues across the division and other University staff, volunteers and vendors to develop, plan, coordinate and deliver unique and meaningful donor opportunities. 
 

The Assistant Director will research best practices, industry trends, and regularly reach out to peer institutions to implement new ideas and successful trends that can be implemented at USF. In addition to research, the Assistant Director will develop tools for analyzing the efficacy and impact of stewardship initiatives at USF in order to make informed decisions on our work and demonstrate ROI. 

The Assistant Director will:

●      Craft written communications such as presidential and vice presidential acknowledgement letters, briefs, event scripts, talking points, and donor reports

●      Manage gift acknowledgement process, delegating writing as needed and collaborating with departments within Development and  across the university

●      Oversee USF’s suite of giving societies, including communications, engagement strategy, recognition, and donor experiences

●      Create and manage individualized stewardship plans, comprehensive stewardship reports, and ad hoc stewardship requests 

●      Maximize the effectiveness of stewardship communications by building templates, tools and guides where necessary to ensure efficiency and consistency

●      Utilize databases to track and analyze data, and produce reports on the efficacy of stewardship initiatives,  working in close collaboration with Development Services and other departments in the division and on campus

●      Interpret and analyze data to support smart decision making in segmentation for stewardship initiatives

●      Oversee the implementation of donor recognition including donor signage and donor gifts/mementos 

●      Design and conduct opportunities for internal and external input/feedback to ensure that benefits and experiences offered by the Office of Development are meaningful and serve as incentives and engagement tools towards continued support

●      Leverage on-campus events and campus visits from special guests as opportunities for donor engagement

●      Contribute to regular brainstorming on innovative, unique, and personalized stewardship communications and experiences

●      Collaborate with key partners on the creation and implementation of individualized stewardship plans

●      Research and communicate emerging trends and best practices in donor engagement and stewardship and lead the implementation of new initiatives

●      Implement stewardship for special initiatives and campaigns 

●      Support the successful planning and execution of the University’s premier events in collaboration with University Special Events.

●      Take on other duties to support stewardship programming as required or assigned

●      Project manage stewardship and donor relations campaigns, creative processes, and small events

●      Actively seek and participate in professional development opportunities, such as conferences, workshops, and webinars, as it pertains to the role. 

●      Actively participate in inclusion, diversity, equity, action, and access learning opportunities to support an inclusive, diverse, and engaged work environment

QUALIFICATIONS

●      Bachelor’s degree required; advanced degree strongly preferred

●      Minimum of three years of progressively responsible development experience in an academic or non-profit environment

●      Experience managing full-time staff or student interns

●      Exceptional written and verbal communication skills, advanced interpersonal skills with a demonstrated ability to effectively build mutually beneficial relationships with a diverse group of people

●      Demonstrated ability to work independently and make informed decisions while also displaying a passion for learning and the confidence to ask questions 

●      Comfort and agility working with database or other CRM

●      Understanding of and respect for confidential nature of donor information

●      Ability to pivot and manage multiple priorities and deadlines

●      Commitment to the Mission, Vision, and Values of the University of San Francisco

Additional desirable skills, knowledge and abilities:

●      Experience developing and leading the overall strategy and implementation of complex projects with multiple stakeholders, input channels, and deadlines

●      Exceptional communication skills demonstrated both in written and spoken forms.

●      High emotional intelligence, demonstrated through excellent relationship building skills with internal and external colleagues and stakeholders, along with an intuitive understanding of what will make donors, prospects, and associates feel appreciated

●      Excellent collaboration skills along with a demonstrated ability to communicate plans and activities while also gaining support and buy-in 

●      Strong analytical, project management, deadline management  and problem-solving skills 

●      Exceptional attention to detail, including exceptional writing; analyzing and presenting donor data, navigating  databases, and an ability to understand giving data and trends
