Job Description

The Herberger Institute for Design and the Art is seeking an Assistant Director, Research Advancement.  Under administrative direction, the Assistant Director, Research Advancement, directs and supervises overall administrative operations of the Herberger Institute’s research activities in support of goals and objectives. Collaborates with Principal Investigators and the Office for Research and Sponsored Projects Administration (ORSPA) to ensure that research process implementation and strategic research initiatives are consistent and in compliance with established guidelines, policies and practices.

Essential Duties

  • Works closely with the Dean and Vice Dean, the unit directors, the university-wide Research Advancement Director, ORSPA, and other appropriate University personnel in the strategic planning and implementation of Institute research goals and objectives. 
  • Acts as primary point of contact and steward to resolve problems and issues affecting research advancement at all levels within the Herberger Institute, and recommends measures to improve the effectiveness and efficiency of services in parallel with ORSPA throughout all research units of the Institute. 
  • Serves as primary liaison/spokesperson between the Institute and ORSPA to ensure timely and thorough communication of activities, requests, policies and practices. 
  • Works in conjunction with stakeholders to initiate, implement and monitor strategic projects related to Institute and university research objectives and priorities. 
  • Utilizes electronic tools (including, data, analytic, and report platforms) to monitor and assess key performance indicators associated with the unit's research enterprise. 
  • Manages and oversees processes common to all units within the Institute, by reviewing proposal submission, award execution, expenditures and deliverables, and research related processes. 
  • Determines strategies to enhance processes, presents and facilitates comprehensive solutions to ensure understanding and purpose. 
  • Facilitates meetings for research advancement staff to ensure timely identification and resolution of issues and consistency in practices and methods across units; escalates issues as needed to appropriate units and/or ORSPA for resolution.
  • Works cooperatively and in conjunction with Research Advancement Manager to supervise and mentor research advancement staff and to verify that all research processes are properly implemented. 
  • As delegated, may review, approve and authorize through signature requests necessary to ensure ongoing efficient operational and research activities. 
  • Supports research staff and Principal Investigators by sharing information that may increase the effectiveness and by providing updates on university, college, institute policies and procedures as applicable. 
  • Develops, prepares and facilitates a workshops and meetings to enhance faculty engagement in external submissions. 
  • Works with the Dean’s staff to increase the awareness, visibility and impact of the Institute’s research activities. 
  • Works with the Dean’s staff in the management and supervision of the Institute's research accounts; monitors and reports on uses of those funds for internal and external fulfillment as required; and identifies potential areas for improved controls to ensure ongoing compliance with all applicable internal and external guidelines and requirements. 
  • Directs and supervises the Institute-level approval of research proposal submissions for proper allocation of recognition, RID, waivers of indirect costs, compliance, and availability of resources, including space, matching funds, infrastructure funds and contributed effort; coordinates efforts with ORSPA staff. 

Minimum Qualifications

Bachelor's degree in Business Administration, Public Administration, or related field AND six years administrative experience in a field appropriate to the area/unit of assignment, which includes three years of supervisory experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in research advancement/administration and delivery of support services. 
  • Knowledge of applicable regulations, standards and requirements associated with grant and contract research administration. 
  • Knowledge of ASU financial and research management tools. 
  • Experience in project or fiscal budgeting. 
  • Knowledge of current policies and directives that influence research administration. 
  • Knowledge of principles, practices and methods of management and supervision of staff. 
  • Knowledge of computer applications (such as Adobe Acrobat, Microsoft Office Suite) and operational knowledge of information dissemination technology such as NSF Fastlane, grants.gov, sponsor websites. 
  • Evidence of effective communication skills, both verbal and written. 
  • Skill in analyzing problems and developing solutions.
  • Skill in management and interpersonal relations as reflected by prior management responsibility. 
  • Experience in creating and managing teams responsible for varying duties. 
  • Ability to work effectively in a matrix/complex organizational relationship requiring strong influencing and negotiating skills. 
  • Ability to quickly identify trends and develop/implement effective solutions. 
  • Ability to work effectively in an environment subject to quickly changing priorities and deadlines. 

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolutions of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.
