What we want

Texas A&M University has opened a teaching site in Washington, D.C. just blocks from the White House. Our inaugural program features The Bush School of Government and Public Service, with plans for participation by other schools and colleges down the road. This endeavor has led us to recruit for the Assistant Director, Recruiting position. This position is responsible for all recruitment activities for graduate programs at Texas A&M University’s Bush School of Government & Public Service with a specific, but not exclusive, focus on programs offered in Washington, DC. It also actively supports and works with the Washington, DC Executive Director’s Office, Student/Career Services, Academic Programs, and Communications. The Assistant Director proactively manages the engagement of degree prospective students from initial marketing and recruitment efforts through successful enrollment. Other duties include: program awareness and promotion, event hosting, conference/fair sponsorship or attendance, campus visits, admissions counseling, communications and follow-ups, inquiry tracking, event planning, application support and review. In addition, one will also engage in interview coordination, relationship management, and ultimately, meeting current enrollment objectives. It important to note this position requires regular travel and an ability to work extended hours. This position is located in Washington, D.C. Position hours are 8:00 AM to 5:00 PM, Monday through Friday. Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience
  • Six years of related experience in higher education and/or recruiting

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications
  • Ability to multitask and work cooperatively with others
  • Ability to communicate clearly and effectively to ensure understanding

Other Requirements:

  • Must be able to travel domestically, often overnight
  • Ability to work long hours (evening and weekend work required during parts of the year)

Preferred Experience:

  • More than six years of relevant professional experience, particularly in higher education administration (recruiting, admissions, academic affairs, administration) and increased responsibility in a competitive graduate or undergraduate admissions office
  • Experience with best practices relating to graduate admissions marketing, recruitment, and/or admissions; a proven track record of enrollment success and growth
  • Experience in the use of relevant database/student information system, and Customer Relationship Management (CRM - Salesforce) technology, as well as internet applications
  • Experience in a data-driven, analytical, and decision-making environment
  • Experience with a proven record of success in managing admissions-related marketing (web and publication design); events, promotional planning, and budget management

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of academic programs and graduate-level admissions in public and/or international affairs
  • Demonstrate results-driven and strategic initiative in marketing efforts in conjunction with Marketing Coordinator for Recruiting & Admissions (based on College Station, TX)
  • Must stay abreast of recruitment trends in higher education and practice effective use of information technology in the recruitment cycle; this amounts to a strong commitment to change and continuous improvement

Responsibilities:

  • Recruitment/Marketing/Communications -In coordination with the main campus Recruiting & Admissions team, develop communication strategies to achieve recruitment/admissions targets. Work with College Station-based recruiting and admissions team to create a multi-channel marketing to attract applicants for the Washington, DC campus; interactive efforts include event and fair attendance/sponsorships, campus visits, information sessions/open houses, webinars, online and print advertisements, memorandum agreements, emailers to honors/underrepresented student lists. Coordinate student and alumni volunteers to help with recruitment and yield efforts. Organize fall Open Houses including management of all aspects of event planning – room bookings; catering; travel expenditures; volunteer student, staff, and faculty assistance; and setting the schedule. Provide customer service through advising, hosting visitors, and interviewing prospects. Develop communication strategies to achieve recruitment/admissions targets, which includes: Create targeted mailer strategies to thank recommenders, and promoting awareness within underrepresented student and professional groups like PPIA, NASPAA, APSIA, and ASGA. Work with Communications to highlight recent news releases, rankings, and feature stories to prospective students. Ensure that electronic media is current and relevant; includes managing processes to updated relevant sections of the Bush School website as it relates to the Washington, DC campus. Communicate effectively with prospective students in person and through communication tools and media to encourage their application and enrollment at the Bush School, Washington, DC campus; specific efforts include publications, specialized web content, social media, online video, and more. Utilize technological and human resources to achieve recruitment/ admissions targets, which includes developing and implementing intake policies so that all inquiries are routed to the Customer Relationship Manager (CRM – Salesforce). Manage active inquiry databases and utilizes CRM technology to nurture leads by running engaging campaigns and helping track mailers and email communications from inquiry to application. Utilize the Salesforce CRM ability to report and analyze data to run audits on student data and gauge recruitment effectiveness. Integrate student volunteers to provide insight into student life during prospective visits and recruitment and yield events. Ensure an unparalleled customer service experience to all prospective students throughout the recruitment and admissions cycle.
  • Admissions - Assist in advising and guiding prospective students; as necessary, through the application process, program requirements, and financial aid. Offer assistance to the Assistant Director for Admissions in processing and contacting current applicants throughout the application process and into matriculation. Understand the Texas A&M Office of Graduate Admissions process and how to work within its systems for collecting, analyzing, and archiving enrollment data; this includes using the Compass data system. Plan and host yield event each spring – Interview Conference Weekend. This weekend involves event planning on a large scale with room bookings, catering, student and alumni participation, staff and faculty integration, and schedule coordination. Collaborate with staff from all support areas, alumni, and current student volunteers. Coordinate interview times between candidates and faculty during the admissions process. Evaluate files, recommend candidates, and assist with record keeping in the Admissions Committee meetings. Maintain confidentiality of all records in compliance with established university policies and federal regulations. Meet the Bush School’s annual target for new graduate enrollment at the Washington, DC campus while maintaining student quality with regard to undergraduate GPA, GRE scores, and diversity (including regional, underrepresented students, gender, experience, and international considerations). Collect and analyze marketing and enrollment data for trend analysis and keep abreast of current enrollment trends through active involvement in professional organizations.
  • Administration and Academic Functions - Work with Bush School administration, staff, and other relevant university leaders to establish the Bush School’s annual graduate admissions goals for the Washington, DC campus. Serve as a chief contact for department heads, faculty, and administration in regards to enrollment. Develop relationship with faculty and administration to participate in the recruitment plan and provides student statistical data reporting support when asked. Prepare and monitor an annual budget in support of marketing and recruitment efforts. Collaborate with all stakeholders in developing and distributing accurate recruitment pieces to reflect current program developments and offerings. Develop and monitor statistical reports to enhance recruitment strategies, yield management, and forecasting.
  • Special Projects - Participate in student services events and projects that include new student orientation, graduation, and alumni projects. Develop and maintain collaborative relationships across the University in support of graduate recruitment efforts. Provide services on college and University-Wide committees as assigned. Perform other duties as assigned.
