POSITION OBJECTIVE 

Working under supervision of the Executive Director and Director Provost Scholars Program, the Assistant Director will facilitate and execute the daily planning, development, and implementation of the Provost Scholars Program; a long-standing partnership between Case Western Reserve University, East Cleveland, and Cleveland Metropolitan School Districts to improve middle and high school students¿ academic and career outcomes. Key responsibilities are to support the scholars and their families through structured academic and social-emotional programming and oversee all technical and administrative functions while working effectively with colleagues across disciplines and academic units both within and outside of Case Western Reserve University.

 

ESSENTIAL FUNCTIONS         

  • Plan and implement ongoing mentoring, tutoring, seminars, and supplemental programing for the Scholars on the Case Western Reserve University campus (typically Tuesday and Thursday afternoons during the academic year and four weeks, M-F in the summer), the Parents¿ College at Case (every second Saturday during academic year), kick-offs, seasonal celebrations, special ceremonies, professional development exchanges, field trips, and other program activities as needed in collaboration with all program partners and staff. Ensure that the Provost Scholars (and families as requested) are attending and actively involved in all planned program activities. (25%) 
  • Create and fortify professional relationships and partnerships essential for the attainment of program goals and objectives. Collaborate on and facilitate communications with stakeholders, including parents, school administrators and teachers, mentors and scholars. Serve as a liaison to the partner schools and seek additional stakeholder support for the mission of the program. Regular program-wide communication (e.g., weekly emails for participants and quarterly newsletters) is required, as well as addressing individual concerns promptly as necessary. (15%) 
  • Maintain weekly/continuous communications with all program staff and participants, share critical data, and provide direction to assist with addressing challenges and crises as they arise within the context of the mission and scope of the program. Participate in scheduled review meetings with the provost scholars, teachers, administrators, and parents and collect statistics. Provide counseling/support services to the Scholars (and families), including academic, career, and personal support on an individual and/or small group basis. (15%) 
  • Coordinate, review, and critique the scholar portfolios and create plans that support the goals and objectives of the Provost Scholars Program. Test and improve the development and maintenance of the portfolios that contain performance statistics (e.g., grades, attendance, and behavior-related data), and program artifacts for each Provost Scholar. Review and critique data to provide data-driven recommendations to the program director and evaluator as needed and/or requested. Analyze the planning and evaluating components of all aspects of the program. Write summary reports that include quantitative and qualitative data that will be shared with professional, community-based and lay groups. Draft parts of grants/proposals. (15%) 
  • Plan and implement strategies for recruiting, training, and retaining mentors (university faculty and staff) for the program. Coordinate with and support the Director in recruiting and training tutors (university students) and facilitating tutoring sessions in-person during programming. Participate in conceptualizing, writing, planning, implementing, and evaluating training programs for administrators/teachers at Case Western Reserve University and the partner schools that are concentrated on providing academic and social-emotional support services to youth in under-resourced communities and focus on meaningful connections and opportunities. (10%) 
  • Direct the application process for scholar selection. Review documentation of selected scholars and mentors and provide recommendations for matching pairs in a mentoring relationship. Plan and deliver parent and teacher/administrator orientation activities; and plan, conduct and summarize open houses with scholars and their families. (10%)

    NONESSENTIAL FUNCTIONS

  • Authorize routine program expenditures, reconcile monthly expense statements; prepare or assist in preparing budgets (forecasting) and financial reports as requested by the university and/or potential funding agencies. (5%) 
  • May review and critique annual performance data and reporting outcomes to stakeholders. (3%)

    CONTACTS

    Department: Regular contact with program team to maintain workflow. 

    University: Frequent contact with faculty/staff who serve as mentors (and potential mentors), the Office of Pre-Collegiate Programs team for budgeting and program planning; events planning staff for scheduled activities and food planning; foundation/donor relations for grant support; financial offices for procurement and budgetary maintenance; recurrent contact with faculty and staff in the service of recruiting and supporting mentors; communications with faculty and staff in the service of planning and implementing the university seminars, and coordinating mentoring activities between and among the Provost Scholars and the Mentors. 

    External: Frequent contact with the superintendent, principals and teachers in the partner schools, city leaders and elected officials, community organizers/advocates, and potential donors as required to perform essential functions. 

    Students: Regular contact with undergraduate, graduate and professional students as required for mentoring and tutoring assistance, and for facilitating the assessment and evaluation components of the program. 

     

    SUPERVISORY RESPONSIBILITIES

    No staff supervisory responsibility. Supervision of student worker(s), program volunteers, and other persons as needed.

     

    QUALIFICATIONS

    Experience: 5 years of experience in the field required, including experience in academic and community settings with minority students, public school administrators, teachers, parents, stakeholders, and university faculty and staff. 

    Education/Licensing: Bachelor's degree in any relevant fields of study from an accredited program required. Master's degree preferred. Valid Ohio driver's license. 

     

    REQUIRED SKILLS

  • Experience working with under-resourced youth in a variety of settings, including public schools and community organizations, and knowledgeable about high school graduation requirements, college/ university admissions and scholarship resources, and application processes. These skills are necessary for planning, evaluating, and critiquing program outcomes and for advising/ assisting parents and scholars about long-term career development and college/university and/or technical and trade school admissions requirements. This information is also necessary for increasing community awareness and approaches for engaging parents and families about career planning and its linkage to future employment and self-reliance. 
  • Knowledgeable about youth developmental theory and cultural norms, including issues confronting youth and families from under-resourced communities. The individual must be well-informed about age-related cognitive, emotional, social, and psychological stages of development in order to provide relevant culturally appropriate and person-centered academic, career and individual counseling services for/to the scholars and their parents and; to be able to effectively communicate with mentors and administrators/teachers about the academic, career, and individual needs of the scholars from the perspective of a developmental framework and within the context of their culture, community values, and the scholars¿ aspirations. 
  • Strong interpersonal, communication, decision-making, and crisis management capabilities that will enable and strengthen effective interactions with a variety of constituents. 
  • Demonstrated ability to effectively and professionally communicate with youth and families from under-resourced communities and help to identify new support opportunities for creative activity, scholarships, and mentoring relationships with Case Western Reserve University faculty and staff. 
  • Demonstrated ability or experience in program assessment, program design and evaluation, and workflow management. Skills that are necessary for the individual to participate in on-going program evaluations, report writing, communicating with stakeholders, including parents, administrators/teachers, advocates, mentors, and the scholars are essential. 
  • Demonstrated ability to develop and manage a program budget, including resource development. 
  • Demonstrated effective leadership and interpersonal skills, including negotiation, problem-solving and conflict-resolution with diverse populations and faculty/staff in public schools and colleges and universities. These functions are essential for the enhancement of effective communications and goal attainment among partners, parents and provost scholars, teachers, peer-to-peer relationships, and other stakeholders in the community; they also contribute to the scholars¿ overall success and retention in the program. In addition, the individual must also be able to participate in the recruitment and development of faculty and staff who are invested in the university¿s mission and the goals and objectives of the program. 
  • Proven proficiencies in Microsoft Office Suite, database management systems, and other commonly used software. Knowledge of and experience with Google Suite (including Classroom), CampusGroups, Box and social media platforms a plus. 
  • Established excellence in oral and written communications. Ability to interact with colleagues, supervisors and customers face to face.
  • Ability to meet consistent attendance.
  • Ability to demonstrate successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest.
  • Willingness to learn and work with artificial intelligence (AI) tools and technologies.

    WORKING CONDITIONS

    General office environment. The position requires frequent travel to local school districts and occasional evening or weekend work to support program activities and family and community engagement events. May have to put in extra hours during preparation for and during the academic-year and summer programs. Must have a driver's license and take university driver's training.
