Job Summary
 

The Assistant Director, Principal Gifts Strategy & Communications is responsible for performing complex and diverse responsibilities in support of fundraising goals for the Chicago Booth Advancement. Reports to Senior Director, U.S. and Global Individual Giving, and takes direction from other members of the Principal Gifts team.
Coordinates the advancement activity of the Dean and Deputy Dean and the outreach of the Dean’s office to donors and prospects, manages the briefing and debriefing process for all visits completed by the Dean and Deputy Dean. Guarantees the accuracy of all prospect related information in Griffin, the University’s alumni database, serve as a power user of the database, assists the work of the Booth Advancement’s prospect management team, and generates reports to track and guide the office’s work with principal gift prospects. Helps gift officers effectively utilize Booth leadership to help meet fundraising goals, creates itineraries and briefings for Deputy Deans and faculty as needed.
Provides information in response to specific requests, directs calls and other relevant information to appropriate individuals while using discretion and judgment with confidential information. Develops a network of internal contacts and provides advisory assistance to other Booth and University offices that seek it. Encouraged to initiate projects that will be beneficial to the Advancement Team and expected to anticipate next steps and follow-up related to fundraising activity and active prospect management at the Principal Gift level.

Responsibilities

  • Coordinates the activity of the Principal Gifts team, particularly in relation to the Dean and Deputy Dean’s work with prospects and donors. Serves as a secondary moves manager to facilitate, organize, and execute fundraising activities for principal gifts officers.
  • Acts as main contact and liaison for gift officers with the Dean’s Office; manages the scheduling, briefing and debriefing process with the Dean. Organizes the Dean’s travel for development. 
  • Writes briefings, acknowledgements, special greetings, proposals, one-pagers, and a broad spectrum of strategic fundraising materials created for specific audiences such as a donor or prospective donor, family foundation, or volunteer solicitor. As part of the process, establishes, monitors, and executes a timeline, builds a persuasive case for each piece, considers the specific audience, and integrates influential facts or statistics. Ensures the timely production and transmittal of the dean’s correspondence with principal gift prospects.
  • Acts as a project manager for proposals and other written documents, and coordinates with the Centers team and Marketing and Communications.
  • Collaborates with Research team to ensure the timely production of briefings for leadership and principal gift officers.
  • Coordinates recognition and stewardship with the Donor Relations team.
  • Manipulates and analyzes data to integrate information from Griffin, Community Directory, CRM, and other databases into various reports/summaries.  Creates reports from scratch related to alumni and prospects; assures appropriate information is captured in all applicable donor files and in Griffin.
  • In collaboration with the Prospect Management team, shares relevant reports to assist gift officers in active prospect management. Updates Griffin, the alumni and donor database of records, by creating prospect actions and maintaining solicitation data, strategy, and next steps. 
  • Participates in prospect strategy development as it relates to prospect qualification, cultivation, stewardship, etc. Assists in the preparation of prospect briefings, travel agendas and materials for gift officers, deans, and Chicago Booth leadership.
  • As needed, manages a small portfolio of donors in stewardship for principal gifts.
  • Writes timely and strategic correspondences to advance relationships.
  • Works with others to maximize prospective donor cultivation.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Experience:

  • A minimum three years of work experience in nonprofit management, development, alumni relations, marketing, public relations, or similar work.

Technical Skills or Knowledge:

  • Demonstrated skill and knowledge of, or ability to quickly learn the internal workings of the University and the technology tools available to Chicago Booth staff, including Microsoft Windows, Microsoft Outlook, Word, Excel, PowerPoint and Access.

Working Conditions

  • This position is currently expected to work a minimum three days per week in the office.
  • Work occasional evenings and weekends.
