Job Description Summary:
KUMC Pediatrics Assistant Director leads, oversees, and directs the staff responsible for all KUMC Pediatrics administrative services in support of the Department's and University's mission. This position performs a variety of highly responsible, complex, and confidential administrative duties that include managing the department's KUMC internal budget, contracts, personnel and recruiting activities. Develop business practices/systems related to maintaining all financial records and management/compliance reporting. The role includes functioning as the HR Analyst or assisting the HR Analyst with Workday tasks. Perform confidential administrative duties requiring a thorough knowledge of organizational procedures and precedents.

Required Qualifications

Education: Bachelor's Degree in business administration, finance. A combination of education and relevant work experience may be substituted for degree on a year-for-year basis.

Work Experience:

  • Five years relevant business, budgetary and/or project management experience.

  • Experience with reporting and presenting financial reports at a high level and in detail to department leadership and faculty. This includes contract, finance and accounting.


Preferred Qualifications

Education: Masters Degree in business administration, finance, and/or relevant years of work experience in an academic setting.

Work Experience:

  • Six years relevant, business, budgetary and/or project management in an academic setting.

  • Experience using Aquifier, CAE Learning Space Enterprise, eRA Commons, MySponsoredProjects, NBME, OASIS, Qgenda, Workday.

Skills: Leadership, professionalism, confidentiality, attention to detail required.


Job Duties Outlined

Departmental Administrative and Staff Management:

  • Manage and oversee the Pediatric KUMC staff recruitment, assignment, training, supervision, coaching and evaluation.

  • Supervise research personnel, clerkship coordinator and residency coordinator.

  • Provide timely services and support to faculty.

  • Manage and maintain accounting records, timekeeping, personnel files, paperwork and reports.

  • Manage the payroll related items such as salary transfers, salary adjustments, etc. for the department.

  • Manage/oversee various KUMC tasks including: payroll, faculty appointments, faculty recruitment, etc.

  • Assist with proforma creation and review for new faculty and associated expenses with the Senior Administrator and Associate Chair of the department.

  • Manage administrative services by assigning projects and tasks to meet the department needs, fitting workflow requirements, updating work assignments and position descriptions as needed.

  • Act as FACT superuser for department faculty.

  • Serve as back up for other department administrative office staff as needed.

Department Budgets and Financial Records:

  • Manages, prepares, maintains and meets deadlines for the SOM budget submission and enters the department's budget into the University system. This includes Education Allocation and Research Allocation.

  • Administer Department Research Allocation Plan.

  • Administer Department Academic Achievement Plan.

  • Have a thorough understanding of the faculty compensation plan and production modeling for the various divisions within the department to assist Pediatric leadership team.

  • Formalize and administer Faculty Committee Chair plan and payments.

  • Manage the KUMC Pediatric Contract tracking, reporting and cover sheets.

  • Provides oversight in the research budgets and meets with the grant specialist to ensure that costing allocations and expenses align with grant budgets.

  • Responsible for internal grant management.

  • Maintains records for all KUEA accounts within the department and provides the Senior Administrator, Associate Chair and Chair with frequent updates, including those accounts associated with the Endowed Professorships within the department.

  • Create, oversee and maintains the KUMC Pediatric Financial Tracking and Reporting, which includes: State/APP; Endowment; Research F&A and R&D.

  • Develop reports for the department on an as needed basis.

Attend KUMC Administrators and Directors meeting, then manage process to implement, manage and follow up on any department tasks and/or projects.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
