Position Summary Information


Primary Purpose
Reporting to the Director of Pacific Recreation, the Assistant Director, Pacific Recreation – Member Services and Operations, is responsible for providing leadership, independent judgement, management decisions and direction in the assigned program areas for all University of the Pacific campuses: Day to day facility operations, Member Services, Guest-related functions, and Scheduling of all facilities.

Essential Functions
Day-to-Day Facility Operations:
  • Oversee the maintenance and cleanliness of all Pacific Recreation Facilities (Fitness Centers, Fields, Main Gym, JL Gym, and Pickleball/Padel Courts).
  • Submits workorders to Physical Plant to ensure the upkeep and cleanliness of Pacific Recreation’s Facilities.
  • Manage our Facilities’ calendar and prioritize reserving space for Recreation programs.
  • Serve as Pacific Recreation’s Facilities’ lead contact.
  • Work with the Assistant Director of Fitness and Wellness to ensure that all fitness equipment is working properly.
  • Maintain records associated with all areas.
  • Ensure policy and procedure compliance in each area.
  • Work with the Pacific Recreation team to ensure facilities are reserved for Recreation Programs.

Programming:
  • Lead programming efforts for membership appreciation, gaining new members, equipment rentals, and fitness/wellness education.
  • Lead and organize recreation student staff programming. Coordinate with managers to create and execute their event ideas.
  • Assist with Recreation Special events such as Rec Week, Rec Fest, Move. Play. Explore. Day., etc.
  • Assist with informal recreation offerings (Noonball, Open Rec, Pickleball/Padel, etc.)
  • Support other Recreation Prostaff in their programs.

Member Services:
  • Oversees all membership service sales, locker rentals, equipment rentals, facility tours, and marketing of member services.
  • Oversee all membership documents including waiver management, payroll deduction and others.
  • Oversee the cashier and other point of sale devices.
  • Primary contact and respondent for all member relations, concerns, and feedback.
  • Maintains our general equipment checkout inventory.
  • Coordinate member appreciation initiatives.
  • Coordinate all conduct and reinstatement meetings for the assigned areas, including exercising independent judgement determining outcome of all meetings determining participant eligibility and sanctions.
  • Serve as Pacific Recreation’s Fusion Lead and department specialist.

Student and Staff Leadership:
  • Supervise and provide direction to over 25 student staff
  • Hire, train, and coach student employees, temp casual employees, and volunteers.
  • Work with Recreation team to ensure all facilities, programs, and events are properly staffed.
  • Develop staff through workshops, training, and recognition programs.
  • Provide direction to the student interview team.

Engagement and Outreach:
  • Develop marketing strategies and work with marketing team to engage students, faculty, alumni, and staff.
  • Attract new members and retain current members.
  • Ensure that members are appropriately informed of upcoming events, maintenance closures, facility improvements, etc.
  • Collaborate with campus partners to identify and establish opportunities for partnerships and sponsorships to enhance program offerings.


Budget Management:
  • Assist in managing budgets for Fitness Center Operations, Member Services, and Facilities.
  • Recommend decisions to ensure effective fiscal management.
  • Works with the Business Manager for Campus Life to ensure all University policies are followed and ensure timely processing of all fiscal documents.

Risk Management and Safety:
  • Assess, evaluate, and mitigate risk for program area through direct supervision and management; implement policies and procedures; maintain accurate records; create various reports, and contract agreements.
  • Coordinate CPR/First Aid/AED classes.
  • Oversee emergency action plans for all Pacific Recreation Facilities.

Assessment and Reporting:
  • Monitor, evaluate, and assess the effectiveness of each area.
  • Implement modifications based on feedback.

Other Duties Assigned:
  • Assist with other department events.
  • Fulfill additional responsibilities as directed by the Executive Director, Campus Life.
  • Participates in Division of Student Life events as requested.
  • Represents Pacific Recreation while working with all Student Life and Campus partners.

Minimum Qualifications
  • Bachelor’s Degree in social science, public health, higher education, sports administration, recreation, exercise science or related field.
  • Two (2) years of progressive experience in Collegiate Recreation in these areas: Facilities, Membership Services and/or Operations.
  • One (1) year of proven ability to lead and supervise staff, supervision or leadership of collegiate recreation programs, services and/or facilities.
  • One (1) year of demonstrated progressive responsible facility management experience within campus recreation or equivalent experience in another recreational setting.
  • Standard CPR/First Aid Instructor Certification (to be obtained within three (3) months of employment).
Preferred Qualifications
  • Master’s Degree in student personnel, higher education, sports administration, recreation, exercise science, or related field.
  • Experience with Innosoft Fusion membership management software and Connect2Concepts Facilities Management software.
  • Strong knowledge of program development programs.
  • Demonstrated experience in student recreation centers, student activities, student life or student development.
  • Involvement in professional societies and organizations.
  • Knowledge of personnel management and budgeting.
  • Ability to direct management goals, to facilitate change and create innovative programs.
  • Interpersonal skills that facilitate collaborative and cooperative environments.
  • Consistently demonstrate good judgment and decision-making abilities.
  • Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.

Work Environment/Work Week/Travel:
Work is primarily performed both in a standard office and gym and sports environments. May require work performed on non-standard business times both on weekends and evenings.
Valid driver’s license required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University and its insurance carrier reserve the right to exclude applicants based on their driving record.
Hiring Range $66,560 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
