The Assistant Director of Procurement and Business Operations will support the Director in matters relating to college purchasing, inventory/asset management, and business operations. This position will conduct simple to complex procurement transactions for commodities, services, grants and construction, and exercise discretionary judgment with regard to special circumstances and problem resolution in consultation with the Director. The Assistant Director will act as point of contact for the department in Director's absence and provide support to the Director for the day-to-day supervision and direction to the department and other assigned business-related services.

Key Responsibilities and Duties:

  • Assist with the review and preparation of solicitations for goods and services, to include writing specifications for unique or complex projects, analyzing bid/proposal results and making recommendations for award of contracts;
  • Assist the Director with the review of contracts/agreements for the College and maintain files of said contracts/agreements;
  • Work in concert with various College departments responsible for PeopleSoft modules that interface with the College's purchasing module. Participates in upgrades as required. Maintains Suppliers, Requisition Entry and Approval, Issuance of Purchase Order, Receiving and Inspection and Contracts;
  • Ensure compliance with State and public bidding laws and College policies and procedures;
  • Maintain budgets for construction, major repairs, and extensive maintenance and ensure proper Construction in Progress accounting for the financial statements;
  • Provide analysis and reporting of College purchasing and inventory activities;
  • Assist with training programs relating to Purchasing and Inventory Policies and Procedures for new and existing employees;
  • Responsible for procuring, inventorying and distributing all College office supplies, including branded stationary and envelopes and maintaining appropriate inventory levels;
  • Interview vendor representatives to develop new sources of supplies, securing favorable terms for the College;
  • Ensure encumbrances are completed in MMARS as so stated by the Office of the Comptroller.
  • Maintain a standard of superior service to all customers, fosters and maintains positive relationships and works collaboratively with faculty, staff, students, and vendors;
  • Perform other duties as assigned.

Required Qualifications:

  • Bachelor's degree in a related field;
  • Five years' experience working in purchasing;
  • Knowledge of Massachusetts General Laws regarding bidding for goods and service, and public construction;
  • Ability to obtain Massachusetts Certified Public Purchasing Official (MCPPO) certification;
  • Demonstrated interpersonal skills;
  • Proficiency in oral and written expression.

Additional Information:

Salary Range: $65,000.00 - 75,000.00 Annual Salary
