Assistant Director of Occupancy Management (Social Services Professional 2 – MR09 )

The Assistant Director of Occupancy Management will coordinate all assignment functions to include but not limited to assignment, billing, room changes, cancellations, and appeals. This position will directly supervise and train the two Assignment Specialists and indirectly supervise a Customer Service Specialist. The Assistant Director of Occupancy Management will serve as a member of the department’s Extended Leadership Team, helping to shape policies, procedures, and advance planning for the department as a whole.

 

Duties and Responsibilities:  

Administration

Manage processes which includes but is not limited to: housing application (academic year, spring only, summer), room assignment for current, transfer, and first year students, contract cancellations, and room changes; manage residency requirements and exemptions; verify full-time enrollment of residential students; verify immunization requirements are met prior to students arrival; train and offer procedural guidance and direction in the assignment area to Residence Life Staff; assist in the coordination of transition housing for students between semesters’ maintain student's files in accordance to UT policy; coordinate all departmental communication with students regarding assignments, including move-in, transition housing, and closing; serve as a departmental representative to prospective and incoming students, parents as well as guidance counselors and other secondary school officials at Open Houses, Campus Orientations, Recruitment events, and on a daily basis over e-mail, telephone, and in person; work collaboratively to coordinate assignment updates and manage information shared on the department’s website, social media channels. Work with Marketing Coordinator to develop and purchase recruitment and promotional materials.

 

Student Fee Assessment/Accounting

Responsible for the billing of approximately $30 million in student housing assessments, which result from rental rates, damage fees, application fees, prepayments (refunds/forfeits) and contract cancellation fees; responsible for daily reporting of transactions to the Bursar’s Office. Audits fee assessments in Banner and StarRez; ensure accuracy in fees on student's accounts; manage housing cancellations and appeal processes; prepare weekly reports of occupancy statistics, revenue/budget review and projection; create local property & peer institution comparison; work with specialty groups for early arrivals and late departures. Ensure proper billing during off cycle periods.

 

IT/Software Management

Manage bed definitions and ensure they are properly set up in StarRez; manage, setup, and run auto allocation for room assignments; work collaboratively with Housing Business Analyst to ensure software is setup and functioning and that it interfaces with Banner, Argos, Maxient, etc.; manage department website; manage the Housing email account, Navigate, StarRez, and other outlets to communicate with students.

 

Serve as liaison to various departments for specialty housing assignments: athletes, disability resource center, Residential Learning Communities, International Office, etc.; serve as a liaison with Admission, Bursar, UTC Dining/Mocs Card Office and ITD.


The ideal candidate will possess the following:

  • Knowledge of or the ability to learn, department and university policies and procedures.
  • Excellent ability to handle high-volume administrative tasks in a timely manner.
  • Ability to work within a collaborative environment and with diverse populations.
  • Ability to communicate effectively in both oral and written form.
  • Ability to exercise sound judgment in making decisions.
  • Advanced skills in computer/software design and setup.
  • Strong organization and customer service skills.

Minimum Qualifications: Requires a Bachelor’s degree; 3 to 5 years of housing, residence life, student affairs or related field experience; supervisory experience; or an equivalent combination of education, training, and experience.

 

Preferred Qualifications: Master’s degree; working knowledge of university housing assignments; experience in StarRez, Banner, Argos, or similar software; experience working with college faculty/staff.
