Position Description

Duties and responsibilities include but are not limited to the following: Primary responsibility for the direct oversight and administration of financial aid in 8 graduate programs and disbursal of approximately $24 million in federal, state, institutional and private financial aid funds to a caseload of approximately 550 PhD students. Leads the Interfaculty Social Sciences team in financial aid; works with all aspects of the financial aid process including admissions, analyzing financial aid, and registration status. Supervises and trains one support staff and works in close collaboration with the Assistant Director for the Humanities and Social Sciences to deploy members of that team to support the interfaculty programs as needed.

Serves as the primary GSAS admissions and financial aid liaison for four Harvard partner schools:  HBS, GSD, HGSE, and HKS.  Ensures that GSAS admissions and financial aid policies are uniformly implemented on these campuses and advocates for the interests of their PhD students as new GSAS policies and procedures are formulated.  Responsible for quarterly fund transfer between GSAS and the partner schools.  Coordinates with various external private and federal organizations based in the US and internationally to administer students¿ outside grants and fellowships.

Counsels graduate students on effective use of the financial support package, fellowship sources, loans, budget planning, debt management and related matters. Interprets and administers GSAS financial aid policies for students, faculty, departments, administrative offices, outside agencies. Assists in development of University and GSAS-wide information and documents that describe and explain financial aid resources and programs. Manages the graduate program financial aid budgets for the assigned graduate programs, maintaining accounts for departments¿ unrestricted and restricted funds and preparing aid allocations in accordance with the GSAS Financial Aid Plan.   Advises and assists in developing financially sound strategies for the awarding of departmental monies. Collaborates with program administrators to assign and review GSAS and departmental funding resources and advises departments, as appropriate, of financial resources available. As Admissions Officer, attends Deans¿ admissions meetings and generates detailed documents for the Deans and departments including yield data and budget material. Provides departments with financial aid information for all ranked applicants and continuing students. Prepares and processes financial aid offers and packages for newly admitted students. Prepares annual letters of financial support for continuing students; authorizes annual fellowship (tuition and stipend) funding; meet internal and external processing deadlines and reporting requirements as needed. Assures that continuing funding guarantees are being met to each student in each department in light of known GSAS fellowship aid, outside fellowship support and TF employment. Serves as liaison with the FAS Research Centers; coordinates the disbursement of FAS Research Center awards, including mid-year research awards as well as summer awards; process all Title IV loan/FWS requests for students in caseload; keep abreast of all changes in regulations related to the Title IV programs; serve on university-wide committees that address improved efficiencies in financial aid processing; work with central administration to assure understanding of federal compliance requirements.


Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

Additional Qualifications and Skills

Master's degree preferred with at least 5 years' experience in financial aid/student services; strong interpersonal and communications skills with ability to interact effectively with internal and external constituents; demonstrated analytic and problem solving skills; strong organizational and time management skills; strong computer skills including experience with PowerFAIDS. Experience with graduate-level students preferred.  


Working Conditions

This position will be based in Cambridge, MA. All remote work must be performed in a state in which Harvard is registered to do business (CA, CT, MA, MD, ME, NH, NY, RI, and VT). Human Resources Consulting is currently developing hybrid workplace models which actively support some remote work (within a state in which Harvard is registered to do business) where business and team needs allow. Furthermore, individual flexible and remote work options for this role will be discussed during the interview process.
