Assistant Director of Finance and Operations, Innovation and Entrepreneurship

Occupational Summary

The Assistant Director of Finance and Operations of Duke Innovation & Entrepreneurship assists the Deputy Director in the day-to- day finance and operation management of Duke I&E 

Work Performed

Financial Management (70%)

  • Assist in the preparation of the operational budget; review and analyze departmental budget requests and advise department regarding changes in budget s to meet university requirements.
  • Assist with monitoring budget expenditures and prepare written reports and analyses to management setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Control and maintain financial records of departmental contracts, sponsored programs and inform appropriate staff members of financial state or various projects.
  • Maintain liaison with departmental business managers and administrative staff in the preparation and analysis of financial reports to provide information and to resolve problems concerning variances from approved budget.

Administration (30%)

  • Assist in the overall program management of the Innovation & Entrepreneurship office and program/event space.
  • Manage logistics of special events, including speaker s, seminars, workshops, and other gatherings
  • Supervise and coordinate the work of designated employees reviewing completed work for adherence to instructions or correctness.
  • Interpret departmental policies and procedures, making decisions on specific operating problems and implementing decisions in accordance with departmental precedent and policies.  
  • Serve as departmental liaison with university administrative personnel.
  • Order and maintain sufficient inventory of office supplies and equipment.

Skills and Qualifications

  • Experience with SAP, Concur, Basecamp, Airtable and MS Office Suit e.
  • Strong interpersonal skills and ability to collaborate successfully with diverse constituencies.
  • Demonstrated ability to handle multiple activities simultaneously.
  • High level of creativity, initiative, and motivation.
  • Strong customer service orientation.
  • Attention to detail and follow-through.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to change and re-prioritize assignments as needed.

Education/Training

Work requires a general business background generally equivalent to a bachelor's degree in a business-related field.

Experience

Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting an d budgeting principles and coordination of major office activities.

A master's degree in a business-related field may be substituted for 2 years of experience.

Minimum Qualifications

Education

Work generally requires a Bachelor's degree in Accounting, Economics or a related business field.

Experience

No experience required for candidates who possess a Bachelor's degree in a field of study related to the specific position.
