General Information
The Assistant Director for Regional Programming is a staff member within the division of University Advancement with full-time responsibilities within the Office of Alumni Relations. Duties are implemented according to the policies and procedures of University Advancement, Constituent Engagement and the Office of Alumni Relations.
The positions core responsibilities include working with chapter leaders to increase awareness of involvement opportunities, encouraging participation in alumni volunteer training experiences, tracking volunteer engagement in the university’s constituent database and building a culture of philanthropy across the JMU alumni community.
The positions most critical requirements are experience in volunteer and relationship management, knowledge and awareness of best practices related to alumni engagement, understanding of the overall Advancement process, strong project management skills, proven interpersonal and organizational skills, data analysis experience and successful results within long and short-range plan implementation.
Duties and Responsibilities
1. Chapter Event Planning & Support
  • Consult with chapters on event planning best practices and provide logistical support for large scale chapter events
  • Develop and maintain a working knowledge of the email management process (list servs)
  • Coordinate volunteers responsible for staffing of chapter events or programs
  • Work closely with the Marketing and Operations arm of the Alumni Office for major alumni events and incorporate chapter programming as relevant
  • Maintain meticulous records of attendees and prepare event reports using the alumni database
  • Monitor expenses generated by chapters and ensure timely reimbursement and reporting while working closely with the alumni fiscal technician; maintain required accounting records and files electronically for auditing purposes
  • Maintain regional chapter pages on the alumni website
  • Create and build regional programming registration pages and emails as needed
  • Work closely with campus partners to coordinate regional event logistics and share resources where applicable (e.g., CrabFest, Holiday Parties, campaign events, etc.)
  • Initiate and respond to communications for alumni and chapter volunteers related to alumni programming
  • Ensure communications and designs adhere to the JMUAA Brand and JMU guidelines

2. Relationship Development and Management
  • Communicate with key stakeholders regarding their participation in and/or attendance at events, both on and off campus, and coordinating schedules accordingly
  • Develop and maintain written and electronic communication to keep chapters updated on priorities, processes and procedures as related to the University and the JMU Alumni Association
  • Maintain a comprehensive volunteer recruitment, training, and stewardship program for new and existing chapter volunteers, including but not limited to a chapter handbook
  • Develop and implement intentional strategies to increase the pipeline of volunteers in partnership with development efforts
  • Meet one-on-one or in small groups with alumni, volunteers, and volunteer prospects to create a steady pipeline for chapter leadership
  • Onboard and assist chapters with leadership transitions by creating a consistent chapter leader introduction process
  • Create meaningful engagement points and develop regional strategies to grow an alum’s connection to James Madison University to ultimately deliver a more participative relationship through their time, talents, treasure and testimony.
  • Manage and maintain relationships with regional chapter volunteers through social and professional events – both online and in person outreach, volunteer opportunities, philanthropy, personal visits, and other activities
  • Plan and implement and annual Madison Alumni Conference to steward and celebrate our alumni volunteers

3. Data management
  • Participate cooperatively in the University’s constituent management and tracking system
  • Maintain meticulous records of chapter leaders and prepare event reports using the alumni database
  • Contribute to alumni engagement tracking by creating timely contact reports of alumni volunteer interactions

4. Function as a member of the Alumni Relations team
  • Assist the Director of Alumni Relations and Assistant Vice President for Constituent Engagement in planning and implementing events and other initiatives based on the priorities of the university and JMUAA
  • Attend department, unit and division meetings and events as requested
  • Represent Alumni Relations and the JMU Alumni Association at University, community and professional functions, as requested
Qualifications
Required:
  • Bachelor’s degree in related field and experience in volunteer management, preferably related to higher education
  • Demonstrated exceptional communication skills, including the ability to give presentations to diverse audiences through a variety of media and means, comfort in public speaking, and ability to have difficult conversations
  • Experience with email listservs
  • License to operate a state vehicle
  • Comfortable traveling independently

Preferred:
  • Previous experience in alumni programming
  • Experience in annual giving, fundraising in higher education
  • Proactive approach to work effectively with administration, faculty, volunteers, alumni and students
  • A positive attitude and customer-service mindset
  • Skills and demonstrated experience in teamwork, problem solving, time management, and successfully planning and implementing multiple projects at one time
  • Able to lift 50 pounds

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
