Assistant Director of Business Operations

The University of Virginia is a highly competitive Division I program committed to academic and athletic excellence. The Department of Athletics at the University of Virginia is now accepting applications for the position of Assistant Director of Business Operations to support the business operation needs of the Athletics Department.

Responsibilities include (but are not limited to): exemplary customer service to internal and external constituencies; conducting trend and data analysis to maximize current and future resources; collecting, analyzing, and presenting financial information; Expense report processing; Supplier invoice payments; Petty cash management; Game contracts payments database management; Student athlete reimbursements; daily interaction with various University departments and vendors to ensure appropriate accounting and system functions; and managing and tracking special projects to meet the strategic and annual goals of the Business Office and the entire University of Virginia Athletics Department.

Duties may include, but are not limited to:

  • Analyze and reconcile fund accounts, expense and credit card reports, special projects, or tasks to ensure appropriate entries are made and monitor the account balances.

  • Manage petty cash account via cutting checks and reconciling the petty cash fund for the entire Athletics department

  • Maintain financial records for department funds, following University and departmental policies and procedures, and maintain all documentation and records to meet audit requirements.

  • Execute necessary supplier invoices for payment for the department.

  • Assist with some contracts and upkeep the contracts database along with necessary purchase orders.

  • Work collaboratively with facilities and administration to upkeep the Athletics game contracts database to ensure game guarantees are paid and received accordingly in the financials.

  • Partner with Compliance to assist with necessary student athlete reimbursements.

  • Review expense reports for correct accounting coding to ensure Athletics’ financials are being reported accurately.

  • Perform and own deposits and invoice creation for deposits for entire Athletics department to ensure funds are being received timely and coded appropriately.

  • In addition to the above job responsibilities, other duties may be assigned.

Minimum Requirements
Education: Bachelor's degree.
Experience: At least two years of experience. Equivalent experience accepted in lieu of degree.
Licensure: None

Preferred Qualifications

Experience with Workday ERP financials system.

Anticipated Hiring Range

$45,000 - $48,000, dependent upon qualifications. The selected candidate will pass a background check. This is a full-time position with UVa benefits . Employees benefits package highlights include:

Physical Demands


This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
