Position Description

  • The Assistant Director of Budgets and Financial Analysis, under general direction from the Director of Finance, analyzes and evaluates quarterly results, operating budgets, and multi-year financial plans ahead of engagement with the Museums’ leadership, the University’s Office of the President and Provost and Central Financial Administration
  • Serves as lead advisor to division heads, managers and their staff on day-to-day basis. Provides special analyses, actionable recommendations, and multi-year financial plans as needed by (and in support of) the divisions. Manages financial inquiries and data requests
  • Leads the annual budget process, including development and/or improvement of effective data gathering procedures and working materials
  • Monitors current year budget to actual results, analyzes and presents findings. Designs, produces, and disseminates budget reports, guides interpretation of reports by museums staff
  • Facilitates budget updates throughout the fiscal year, including ad hoc updates (ensuring proper approvals in place) and exhibition budget updates
  • Conducts reviews of funding availability to inform decision-making. Initiates analyses at own discretion and elevates requests or questions to various audiences. Synthesizes findings and determines short- and long-term ramifications for all stakeholders
  • Conducts and shares analytical and quantitative analysis to support decisions related to the preparation of the annual budget, mid-year forecasts and multi-year financial plans
  • Develops ad-hoc reporting for use in financial planning; conducts analyses to respond to strategic requests with actionable recommendations
  • Manages all aspects of the sponsored grant portfolio. Collaborates with colleagues in the art museums’ Institutional Advancement division and the Harvard Office of Sponsored Programs; manages grants in GMAS (grants management portal) to ensure all grant requirements are met
  • Manages preparation of the workforce staffing budget and submission in University budget system as well as collateral materials
  • Designs and delivers presentations that educate Museums’ leadership on key financial issues
  • Participates in University-wide systems test and reporting groups, committees and forums
  • Supervises the Administrative Coordinator
  • Participates in or leads special projects and reviews of operational processes and policies

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 7 years’ relevant work experience
  • Supervisory Experience

Additional Qualifications and Skills

  • MBA (or other relevant professional/graduate degree) preferred
  • Excellent analytical, written and verbal communication skills
  • All applicants must demonstrate experience with designing and executing strategy-based financial analyses, including scenario modeling
  • Must be well organized, flexible, and able to manage multiple challenging projects simultaneously in a fast-paced environment
  • Applicants must also have collaborative working style and ability to build strong relationships with people at all levels of the organization, particularly non-finance staff
  • Advanced knowledge of budget management, financial analysis and financial modeling; working knowledge of accounting principles
  • Knowledge of Microsoft Office Suite, advanced Excel and PowerPoint skills
  • Demonstrated experience with financial systems and data query tools
  • Experience with PeopleSoft a plus

The Assistant Director of Budgets and Financial Analysis will join the Harvard Art Museums during an exciting phase as it embarks on implementing a new five-year strategic plan. Reporting to the Director of Finance and working daily with other art museums’ colleagues, the Assistant Director directs the day-to-day budget and reporting functions, including budget development, advising divisions, grants management, as well as financial analysis and reporting. This position has significant outward-facing responsibilities, interacting with the Director’s Office and all other staff levels within the art museums, and with administrative offices within Central Administration for the University (such as the Office of President and Provost/Office of Financial Strategy and Planning, Office of Sponsored Programs, among others).
