Position Summary Information


Primary Purpose
The Assistant Director of Admissions and Diversity Initiatives position reports to the Sr. Assistant Dean of Admissions, Financial Aid and Diversity Initiatives (Sr. Assistant Dean) (with dotted line reporting to the Director of Admissions), ensuring the timely and efficient oversight of the daily admissions and recruitment activities and diversity initiatives programming are completed.
Essential Functions
Recruitment and Prospect/Applicant Support
  • Key admissions team member to counsel and correspond with prospective students and applicants on the admissions requirements and process via phone, email, and in person.
  • Under direction of the Sr. Assistant Dean, create and manage external communications including emails, marketing communications, event programs, and newsletters for prospective, applicants and admitted students.
  • Collaborate with the Sr. Assistant Dean and the Director of Admissions to plan, prepare, and host on-campus and virtual admissions events for prospects, applicants, and admitted candidates (minimum events 10 (ten) per year).
  • Participate in local education coalition, pipeline, and pathway meetings and recruitment events/activities in the state, region and national stage, including as well as serve as the Pacific Legal Advantage Liaison for the law school, and other programs as assigned.
  • Manage mailing of all recruitment materials for scheduled events for the admissions office during the recruitment cycle.
  • Provide oversight and direction to Administrative Coordinator for managing department social media platforms and dissemination of event information on Instagram, Facebook, LinkedIn, and Twitter.
  • Recruits for JD admissions; coordinates and participates in campus recruiting activities such as presentations, career fairs, graduate and professional school fairs, law fairs, diversity recruiting fairs and events, panels, conferences and other platforms as needed to enhance the law school’s brand and reputation.
  • Support creation of marketing collateral materials and pieces under the direction of the Sr. Assistant Dean and Director of Admissions.
  • Explore the opportunities present in the admissions database to fine tune recruiting targets and reporting, especially as it relates to the prospect and applicant pools using existing technology tools and creative thinking under direction of the Director of Admissions.
  • Assist in the planning and execution of recruitment and admissions programming and outreach, including attending outreach events and activities for diverse and first-generation populations when required by the Sr. Assistant Dean.

Office Management and Support
  • Develop and implement efficient office procedures and policies.
  • Organize office workflow and procedures and support business office needs, including pro card reconciliation support, and update internal office forms throughout the admissions cycle including training about updates with the Administrative Coordinator.
  • Design and maintain office filing system to ensure filing is up to date throughout the entire admissions cycle.
  • Oversee office organization, office layout, and procurement of office equipment.
  • Provide daily guidance and support to the Administrative Coordinator maintaining the main Admissions email inbox, social media requests, and web inquiries and webpage updates in a timely manner.
  • Counsel applicants to complete application and communicate with them regarding missing or incomplete documents as needed.
  • Oversee FAMIS work order requests, technology support requests, and EMS reservations submitted by Administrative Coordinator.
  • Coordinate and manage admissions office’s weekly to-do list for department weekly and biweekly meetings.
  • Provide support for Unite training and updating of JD admissions databases.

Diversity Initiatives
  • Under direction of Sr. Assistant Dean, collaborate and implement diversity initiatives programming, events, and activities, and support safe space training for CID volunteers and ambassadors with Sr. Assistant Dean annually.
  • Supervise Center for Inclusion and Diversity (CID) student employees and volunteers. Approve timesheets and manage all CID office and programmatic needs.
  • Build relationships with niche and affinity organizations to ensure achievement of diversity, equity, inclusion and belonging outreach objectives and strategies on campus.
  • Manage CID job/volunteer postings, interview processes, and on-boarding training for work study students and volunteers.
  • Manage biweekly CID meetings.
  • Coordinate annual diversity initiatives and manage CID event calendar with Sr. Assistant Dean and CID program managers, directing and managing event execution and staff contributions.
  • Serve as administrator to CID social media platforms and manage marketing/communication event collateral in collaboration with CID Program Manager and Assistant Program Manager under the direction of the Sr. Assistant Dean.
  • Coordinate with Sr. Assistant Dean to plan and execute McGeorge Unity Graduation and Sacramento Campus Diversity Week events annually, as well as act as committee member for other University or McGeorge related events.
  • Perform other duties as assigned by the Sr. Assistant Dean.

Minimum Qualifications
  • Bachelor’s Degree (Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post high school education coursework.)
  • Three (3) years of admissions recruitment, student services, and/or counseling work experience.
  • One (1) year of diversity initiatives and program coordination experience.
Preferred Qualifications
  • Effective verbal and written communication skills.
  • Person should be able to explain new information and teach new skills to other employees.
  • Candidate should be comfortable delivering non-favorable response to a customer.
  • Ability to review applicant files and provide pertinent information in a summary is essential.
  • Must be able to perform complex compilation and tracking of information and materials received from many sources, perform data analysis, follow oral and written instructions, work. independently well, and work under pressure, at times, to meet pressing deadlines.
  • Must be detailed oriented, patient, collaborative, efficient, and work well as a part of a team and independently within the department and across the McGeorge and University of the Pacific communities.
  • Must conduct oneself with a positive attitude, proven ability to work successfully with diverse populations and demonstrate a commitment to promote and enhance diversity, equity, inclusion and belonging.
  • Advanced skills in Word Suite, including Word, Excel, Access, and PowerPoint are preferred.
  • Have familiarity to run admissions and diversity reports and organize and retrieve data from LSAC Unite, University Banner, Constant Contact, Mailchimp, Wufoo, etc.
  • Possess the ability to access and retrieve information from databases for recordkeeping purposes, creating and managing reports, and troubleshoot and implement technology issues with databases to manage data information, flow, and integrity.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Valid driver’s license required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University’s insurance carrier reserves the right to exclude applicants based on their driving records.
Hiring Range $66,560.00 - $68,000.00 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
