Health System Shared Services | Supply Chain Management-JM

Ensures 24/7 supply chain support is delivered to Operating Rooms (OR), clinics, and other locations in a manner that ensures quality care is being delivered.  Responsible for oversight of OSUWMC transportation fleet and deliveries. Provide leadership and management for all materials and inventory specialists running the warehouse management systems and operations. Identifies new areas to implement lean principles and reduce inventory on hand.

Works with Facilities and Planning analyzing and recommending sufficient space and other resource requirements needed in future supply chain spaces Is a subject matter expert on lean distribution principles. Trains all materials and inventory specialists in lean principles and certifies them on two bin Kanban inventory systems. Continuously assesses and improves all areas’ performance, maintains appropriate quality control programs, and provides for orientation, in-service training, and continuing education of staff in the department.

Has a working knowledge of the Hospital’s Inventory Management Systems, financial systems, and warehouse management systems. Coordinates and monitors the order, receipt, storage, inventory transactions and distribution of supplies, linen, and equipment in various inventory management systems and locations. Generates and edits purchase orders for Medical Center supply orders. Participates in staff training and development. Evaluates and counsels staff in job performance via the P3 tool.  Develops policies and procedures. Manages operating and capital budgets for assigned cost centers. Coordinates special projects. Supports Supply Chains Mission, Vision, and Values as stated in the position scope.

40% Strategy Development & Execution

  • Leads initiatives with stakeholders to optimize all supply chain operations and logistics functions, processes and systems and is accountable for leading those activities for the all areas of the health system
  • Leads all operations responsible for tracking, ordering, picking, replenishment and other inventory transactions to maintain inventory accuracy
  • Creates and implements the supply chain strategy for warehouse and transportation management
  • Implements and maintains lean supply chain principle throughout across all warehouse locations
  • Serves as a subject matter expert to leadership with regard to supply chain principles offering insight into best practices available to meet patient care needs
  • Assist Facilities & Planning to engage room configuration consultants to design warehouse space for maximum efficiency
  • Continually assesses and improves existing departmental programs and services
  • Develops Key Performance Indicators for each supply room and reports performance to key patient care leadership
  • Develops and performs a Gemba cadence for the inventory locations and two bin staging areas
  • Prepares and monitors budgets for the department and reviews performance, productivity and other reports to monitor progress; Ensure direct reports are familiar with the budget process
  • Stay current on planning and operational services and healthcare advances and applies new knowledge to leverage innovation

20% Leadership / Development

  • Responsible for job description creation and evolution of the supply chain coordinator and
  • Performs monthly Gemba walks to ensure productivity and quality of the logistics systems
  • Conducts on-going employee performance appraisals, builds functional teams and promotes staff development
  • Conducts organizational studies and recommend changes to meet established objectives.
  • Develops and maintains appropriate functional and technical skills within the organization to drive continuous improvement
  • Develops and reports staff productivity statistics
  • Develops materials and inventory specialist standard work and training programs
  • Distributes work to meet service level agreements
  • Establishes measurable operational objectives for process improvement, customer satisfaction, financial performance and productivity for all Distribution and Receiving personnel
  • Evaluates and counsels staff on job performance
  • Makes job assignments and reassigns personnel to insure completion of all required daily activities
  • Manages time-keeping records, monitors usage of ill time/overtime, and performs initial employee counseling and recommends appropriate disciplinary actions
  • Provides counseling and shares information with staff, recommends promotions, initiates progressive disciplinary action, and terminates staff as required
  • Recruits, hires and orients new staff
  • Develops department policies, and reviews and evaluates operations as well as assisting with revisions of procedures
  • Completes other duties and projects as assigned by higher leadership

10% Logistics Operations

  • Implements and maintains safe warehouse practices, standard of work, ODOT regulations, OSHA compliant safe practices
  • Advises supply chain leads to reset inventory levels and address fast moving inventory
  • Manages stock out and substitutions and works to minimize stock outs and special requests
  • Works to make additional sku’s available
  • Makes recommendations to remove stale inventory from stock

10% Clinical Relationship Management

  • Promotes interdepartmental relationships with all levels including patient care staff, physicians, support personnel, administration and other departments.
  • Responds to complaints and resolves problems
  • Conducts staff meetings and in-services as required
  • Participates on enterprise wide committees as required
  • Establishes and manages departmental meetings as required
  • Meets regularly with ambulatory leadership to update and provide guidance with regard to supply chain objectives
  • Creates SLA with procedural leadership and creates KPIs reported dually to supply chain and otherleadership

Minimum Qualifications:

For Hire:

  • Bachelor’s Degree in Supply Chain Management, Business, Healthcare or relevant field
  • 7 - 10 years of experience in Supply Chain Management, Business, Healthcare or relevant field
  • 5 – 7 years of direct supervision / leadership experience
  • Or relevant education and experience

Preferred:

  • Master’s Degree in Supply Chain Management, Business, Healthcare or relevant field
  • Operations experience
  • Lean management experience
  • Certifications in related field
