Job Description

The Sandra Day O'Connor College of Law seeks a dynamic individual to fill the position of Assistant Director Academic Services within the Graduate Programs department.  The prospective candidate will assist the Director with directing and managing academic and student services activities for students (domestic and international) in ASU Law’s graduate degree programs (both in person and online), including the Master of Legal Studies (MLS), Master of Human Resources and Employment Law (MHREL), and Master of Laws (LLM) degree programs. The Assistant Director, Graduate Program Academic Services, supports the non-JD graduate student and alumni experience functions, including administering onboarding and orientation, academic advising, student communications, student life, and graduate programs events. 

The ideal candidate is flexible and organized. The chosen person joins a functional team within Graduate Programs team at the law school. This role is essential to supporting student success and satisfaction. The candidate selected for the position should be an experienced self-starter with strong administrative, business, and communication skills. This position may include participation in planning, developing, and administering the department budget. The Assistant Director may assist with the development of long- and short-range goals and projects, including the implementation of department policies and procedures. The Assistant Director may serve as a representative of the University or College at state, regional and national organizations, boards, councils, committees, and the community as assigned. Assists in the design, development and coordination of projects. This position will report to the Director of Graduate Programs. Unless related to Graduate Programs, this position will not lead or direct any law school activities primarily focused on the regular JD program.

Essential Duties

  • Supporting the evolution of ever-improving student support processes, activities, policies and academic requirements. 
  • Advising graduate students on options and pathways to satisfy degree requirements in a timely manner. 
  • Establishing calendars and timelines for recurring communication to students about enrollment, relevant deadlines, student policies, and degree completion. 
  • Prioritizing, triaging, and responding to all communications from Master's program students.
  • Maintaining the relevant student-focused website pages and Canvas materials, including: updated digital resources, links to university policies, and other relevant items, as necessary. 
  • Maintaining and retrieving relevant student and program data in a variety of data systems. 
  • Developing and delivering in-person, online, and in video format a variety of student services topic presentations, such as: online learning resources; career/professional development topics, monthly advising meetings, collaborating with internal/external speakers as necessary. 
  • Assisting the Graduate Programs Admissions team and Manager of Online Learning to implement program initiatives for prospective students, current applicants, and newly admitted students. 
  • Working collaboratively with academic units and services throughout the University to facilitate student support and serving as the official graduate academic coordinator for ASU Law's graduate programs. 
  • Monitoring recurring student issues and concerns within academic and student life environments, including assisting with Academic Integrity violation investigations pursuant to Graduate Program Student Policies. 
  • Assisting with the management of graduate students' independent studies and externships. 
  • Coordinating programs and events for the College of Law during the week, some weekends, and some evenings throughout Arizona and the United States. 
  • Initiating and preparing administrative reports and documents; assessing programs and events for effectiveness.
  • Supervising student workers and/or student ambassadors.
  • Physical presence at the workplace or the college is an essential function or requirement of this job. 
  • Perform other duties, as assigned, to support the goals of the department.

Minimum Qualifications

Bachelor's Degree in related field, AND seven (7) years experience in one or more of the following: advising, or other related student service administration in a college/university environment, which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience working in higher education with diverse faculty, administration, staff and students 
  • Experience working in a student life, academic advising, and student experience capacity/department 
  • Experience counseling/mentoring non-JD law students 
  • Experience in public speaking and leading/guiding student-facing learning communities. 
  • Evidence of effective verbal and written communications skills 
  • Experience in networking skills 
  • Evidence of established contacts throughout the legal and business community 
  • Demonstrated interest in legal education and innovation 
  • Experience in working independently and as part of a team in a fast-paced, service­ oriented office environment

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
  • This position may require up to 10% travel
