Job Summary
 

The job conducts biographical and financial research on individuals, corporations, and/or foundations to support fundraising. Identifies prospective donors using research and analysis through use of standard procedures. Forecasts and measures the effectiveness of the fiscal year and overall campaign progress, which will help employees in the job acquire higher-level knowledge and skills.

Responsibilities

  • The Assistant Director, Gift and Prospect Data for Strategic Research and Analysis to is responsible for biographic and prospect data maintenance and supporting gift processes in the office of Medicine and Biological Sciences Development.

  • Leads all projects related to the control and quality of Medicine and Biological Sciences Development biographic and prospect data residing in the University’s constituent relationship management (CRM) database; trains staff in the interpretation and proper use of this data and policies governing its use; and provides timely, accurate, and ongoing maintenance of CRM data and regularly audits the managed portfolio to ensure data integrity. 

  • Manages and supports key gift processes on behalf of Medicine and Biological Sciences Development. These include: administering and supporting the pledge process, processing checks, facilitating the creation of new gift accounts, auditing gift accounts, and related activities.

  • Creates new constituent and prospect records in the University’s CRM.

  • Maintains prospect data in a timely manner and in compliance with all applicable MBSD and University prospect management policies.

  • Conceives of and executes an annual schedule of audits to ensure the accuracy and completeness of prospect data across MBSD’s managed portfolio.

  • Facilitates the CRM onboarding of new MBSD staff.

  • Ensures the timely and accurate processing of all checks received at the Medicine and Biological Sciences Development office.

  • Administers new pledges and gift agreements: advises relationship managers on MBSD’s pledge checklist; coordinates with the Gift Management Specialist, Office of Gift Planning, and relationship managers to draft new gift and pledge agreements in accordance with relevant MBSD and University protocol; sends signed gift agreements to the Office of Gift Planning for counter-signature; and ensures counter-signed agreements are recorded in the appropriate files.

  • Develops, maintains, and updates information on new and existing prospects, solving problems as they arise.

  • May provide guidance to analysts, train staff members on fundraising, report writing, and research.

  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Experience:

  • A minimum of three years of data management and project management in an academic or corporate setting or equivalent experience.

  • A minimum of two years of experience with gift processing.

  • Experience in an academic medical center or higher education.

Preferred Competencies

  • Proficiency with databases, Windows, network based electronic environments, and the Internet required.

  • Excellent analytical and communication skills.

  • Ability to express information clearly and concisely, whether orally or in writing required. Exceptional organizational skills required.

  • Discretion and confidentiality.

  • Experience with an Advance CRM strongly preferred; experience with Salesforce.
