Position Summary:

Florida Atlantic University is seeking an Assistant Director for Operations, (CAPS) - Boca Raton

Summary of Responsibilities:

  • Provide supervision, training, and support to Program Assistants. Serve as back up to front desk when necessary.

  • Oversee operations at front desk, including the intersection between clinical policy and customer service, as students present to CAPS. Oversee operations functions of the center, including purchasing, onboarding of new staff, coordinating with HR, front desk operations, and serve as the direct supervisor to the Program Assistants.

  • Manage purchasing on behalf of the department. This includes tracking spending,   submitting authorization for spending, requisitions, and ownership/management of p card, in compliance with university policies.

  • Manage office supply inventory, determine which supplies are necessary and purchase accordingly.

  • Oversee access to office (e.g., electronic door locks) and phone system.

  • Serve as primary point person to HR when hiring and onboarding new staff, including obtaining appropriate coverage for liability insurance.

  • Interact and communicate effectively with students, clients, clinicians, staff, faculty, administrators, verbally and in written communications.

  • Work with clinical staff to manage data tracking of office programs and services, including semester clinical reports.

  • Perform any other duties as needed for the smooth operation of the office. Must comply with a federal, state, and university regulations and statutes, as well as internal policies and procedures.

  • Work to foster and maintain a collaborative, engaging, and positive work environment for all students and staff. Participates in assessment, accreditation, quality improvement, and regulatory compliance.

  • Participate in activities, both internal and external to CAPS in order to champion the health of the college student population, advance the mission of CAPS, and support the missions of the Division of Student Affairs & Enrollment Management and Florida Atlantic University.

  •  Assist in orientation of new staff

  • Ensure essential reference guides are up to date, including staff phone lists, EURP, and COOP

  • Work with IT and facilities for center concerns, when necessary

  • Serves as a member of CAPS administrative team, with other Assistant and Associate Directors.

  • Other job-related duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of
specialization and four years of appropriate experience.
Preferred Qualifications:
Master's degree with experience working in a health or medical setting. Experience serving as a supervisor with budget management experience.

Salary:

$48,000 - $50,000 per year.
Exempt Administrative, Managerial, Professional (AMP)
