Rutgers Global promotes Rutgers as a globally engaged institution through immigration processing and academic support services to international students and scholars, study and service-learning abroad programs, international partnership facilitation, and design and support of on-campus and virtual events that address global topics and create cross-cultural networks. Rutgers Global is comprised of the following units: International Student and Scholar Services (ISSS), Study Abroad, Global Partnerships and Strategic Initiatives, and the Office of Vice President.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Assistant Director for Administration and Special Projects for the department of Rutgers Global. Reporting to the Executive Director of International Student Services in the Rutgers Global – International Student and Scholar Services office, the Assistant Director for Administration serves on the ISSS leadership team to provide operational oversight for the international student services function. This position will oversee the administration of in-person and online services for international students; coordinate communications and outreach for international student services; assist with developing and implementing programming for a diverse student population, including Orientation; partner with university relevant academic and administrative units to facilitate international student success; assess programs and processes to ensure high quality, responsive service in a fast-paced climate with changing and at times conflicting needs; support special projects and perform other duties as assigned.
Among the key duties of the position are the following:
  • Leads and supports projects that will continually streamline and modernize the ISSS experience for clients and staff.
  • Oversees the assessment and expansion of services to address the evolving needs of our international students and scholars.
  • Maintains oversight of a broad range of services and programs related to critical regulatory compliance matters.
  • Requires maintaining familiarity of data flows and a strong understanding of Federal regulatory laws and policies governing the status of international students at Rutgers.
  • The increasing diversity and nuance of the international population requires innovation and flexibility in creating and implementing new processes to document, contact, engage, and support student needs.
  • Serves as a DSO and ARO for Rutgers and perform associated duties, including ensuring timely resolution of certain requests, alert management, and record upkeep in Sunapsis and SEVIS.
  • As supervisor of the Front Office Coordinators (2), the Assistant Director is fully responsible for overseeing the day-to-day operations of the student services front office team.
  • This position will be part of the ISSS leadership team, will support the overall mission of the office, and participate in other projects, as required.
  • Serves as the office’s primary liaison for communication and collaboration with assigned campus partners.

Qualifications


Minimum Education and Experience
  • Master’s degree in education, technical, or related field.
  • 2-3 years of work experience in international student and scholar advising or related area.
Certifications/Licenses

  • Demonstrated experience and leadership in operational management.
  • Meticulous attention to detail and ability to manage complex multi-task projects.
  • Strong oral and written communication skills.
  • Strong critical thinking, organizational, and problem-solving skills.
  • Demonstrated commitment to the goals and values of international education.
  • Administrative experience working in higher education and/or an office involved in international programs.
  • Ability to work independently using discretion and knowledge of confidentiality laws.
  • Ability to speak and communicate effectively with diverse groups and constituencies (faculty members, undergraduate and graduate students, university administrators and the general public).
  • Ability to work effectively in a culturally diverse community.
  • Ability to multitask and work under pressure and deadlines.
  • Ability to work nights and weekends as needed.
  • U.S. permanent resident or citizen status as required to become a DSO/ARO.
Preferred Qualifications
  • Demonstrated leadership in successfully identifying and implementing technology solutions in a student services program at a higher education institution in the past three to five years.
  • Demonstrated skills and expertise in the application of educational approaches to compliance.
  • Experience living, studying, or working outside the United States.
  • Knowledge of one or more languages other than English is preferred, as well as experience working, living, and/or studying abroad strongly preferred.
  • 1-2 years supervisory experience.
  • Knowledge of F-1 and J-1 regulations, SEVIS RTI, batch processing, and compliance software (e.g., SUNAPSIS, Terra Dotta).

  • SRDB, Banner, and other databases as needed.
  • Microsoft Office Suite.
  • Strong computer skills and knowledge and comfort in the use of new tools and software.
Physical Demands and Work Environment
  • May require occasional travel to other Rutgers campuses (RBHS, Newark, or Camden) and some evening and weekend hours for special student programs.
