Position Summary
Manage all aspects of McKelvey graduate aid (remission, scholarship, and federal aid). Audit all students accounts for McKelvey. Provide financial data and analysis regarding McKelvey student information. Manage a wide range of financial and operational projects that involve cross-school collaboration.


Job Description

Primary Duties and Responsibilities

  • Posts remission (tuition and health fees) to student accounts in accordance with accounting policies.  This entails a complete understanding of various university and school level policies, the ability to communicate these policies to faculty, staff and students. McKelvey has over 20 different programs that provides some form of tuition remission to students and more than 900 individual students receiving some type of tuition remission each academic term.
  • Audits student accounts for McKelvey including ensuring students are charged correct tuition rates which differ depending on division, status, degree sought, course registration, and grade option. This process includes interaction with the various school’s registrars. Other student accounting responsibilities include manually posting tuition charges and remission for summer school students, joint Master of Architecture/Master of Construction Management students, adjusting fees for Cooperative Education students, Sever course fees, working school exception reports, reviewing delinquent reports, correcting accounts to reflect changes in registration, and resolving student billing issues.
  • Manages graduate financial aid which includes reviewing applications and awarding federal financial assistance, as well as private student loans. Resolves graduate financial aid issues and work as liaison between graduate students and Student Financial Services. Provides loan, debt, and repayment counseling to students. Coordinates student VA benefits with Student Financial Services, University Registrar’s office and Student Accounting. Stays apprised of changing government regulations related to graduate student lending.
  • Conducts analysis, identifies trends, and provides tracking and reporting out of the student reporting database regarding tuition revenue, remission, scholarship, course, and/or student related data in response to requests from McKelvey senior administration. Creates and runs numerous audit reports out of the student reporting database; analyzes data from audit reports, takes action, and/or communicates with appropriate parties to resolve any issues.
  • Manages a wide range of “project” roles that involve cross-school collaboration. Projects may be financial as well as operational. Makes recommendations to Senior Management. 
  • Provides one on one counseling for all dual degree students and their parents, ensuring full understanding of the financial aid options and implications.
  • Performs other duties as assigned.


Preferred Qualifications

    • Professional experience in accounting, business, or financial aid and related database and analysis experience.
    • At least two years of related experience working with diverse undergraduate, graduate and professional students.
    • Experience with Washington University systems. 
    • Experience and knowledge of PowerFAIDS systems.
    • Proficiency in MS Office applications, especially Excel, Word and Access.
    • Knowledge of financial aid process in a university setting.
    • Team player with excellent communication and interpersonal skills.
    • Ability to prioritize, organize, work independently and effectively handle a variety of projects simultaneously.
    • Self-motivated individual able to work well with a diverse population of students, faculty, and staff members within the university community.
    • Experience with accounting, financial aid, and database management.
    • Familiarity with citizenship documentation.
    • Ability to complete assignments with minimal supervision.
    • Flexible as priorities can change with very little notice.
    • Ability to maintain confidentiality regarding payroll and policy issues.
    • Able to convey a professional image.
    • Ability to identify and resolve workflow issues relative to continuously changing needs.


    Required Qualifications

    Bachelor's degree in related field and three years of relevant experience or equivalent education and experience.

    Salary Range
    $48,700.00 - $80,500.00 / Annually

    The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
