Brandeis University seeks to hire an Assistant Director to be part of the University Events team and to oversee event operations.  This role not only supports individual events but also oversees other event managers and departmental operations.  Oversight and individual events services include but are not limited to arranging for appropriate catering, audio visual, and room set ups as well as communication with the client regarding pricing and status of an event. This position will coordinate with support services across campus to ensure all event details are addressed and completed to the client's satisfaction. This includes support services such as facility Services, Public Safety and Media Technology Services.  Finally, this position will monitor budgets for large events and the operations team. They will be responsible for coordinating across internal departments, and maintaining vendor relationships.

Examples of Key Responsibilities:

  • Responsible, in partnership with dining services, for planning menus, costs, amenities and services for internal events including Commencement, Spring and Fall Open Houses, Alumni Weekend, Orientation and Family Weekend. Create outstanding rapport with all clients in order to maximize positive public relations and customer service. Determine, prepare and provide cost information for events, including providing final invoices. (30%)
  • Oversees daily operations of the University Events operations team. With the Director establish strategic goals for providing outstanding service to internal and external clients. (10%)
  • Supervises the event managers and students in the development of event bookings, reservation contracts and maintain and refine procedures that assure all necessary information has been properly prepared and communicated to stakeholder. Responsible for training, scheduling, and assigning managers, students and service personnel for internal and external events to ensure customer satisfaction. (30%)
  • Coordinates with support services including facilities services, dining services, and media services to ensure that all event details are addressed and that the client is completely satisfied. Supervises the scheduling of summer conferences and Summer housing. (20%)
  • Participates in evaluating budgets and contractual provisions to determine requirements for space, location, technology, equipment, accommodations, catering and on-site management. (10%)

Skills & Qualifications:

BS/BA required, 3-5 years relevant work experience. Prior management experience is valued.

Excellent organizational and communications skills. Detail oriented. Ability to handle multiple tasks and projects while staying within budget parameters. A minimum of intermediate Excel skills required. Familiarity with Monday.com, Event Guru, 25Live, Workday and Coupa is desired but not required. The ability to quickly adapt to new software, technology. The ability to quickly adjust and address any emerging issues is essential. Excellent Customer Service Skills and easily able to build positive relationships across all levels of an organization a must.

Valid driver's license in good standing required.

Staff will serve in an on -call rotation Friday-Sunday. May include some required evening or weekend hours based on event and staffing needs.
