This position provides high-level administrative support to Faculty Affairs, Human Resource Support, External Relations, Communications and Outreach, and project management for special and ongoing projects. In addition, the role is responsible for the daily operations of business support services by coordinating workflow, implementing and documenting processes and procedures, cross-training administrative support staff, and supervising, coaching, and developing team members. This position works closely with and reports to the Administrative Director for CEMS. 
25% Operations Management, Policy Support & Special Projects: 
⢠       Orchestrate departmental projects aligning with long-term goals, collaborating with the Administrative Director and Department Head.
⢠       Partner with leadership to conceive and develop pivotal initiatives for administrative and operational excellence
⢠       Support and implement seminars. Manage event logistics and execution with event planner support as needed.
⢠       Lead business strategy implementation, improving administrative workflows, standard processes, and documentation. Keep the Administrative Director informed of updates.
⢠       Independently manage projects from inception to completion, crafting timelines, assigning tasks, monitoring progress, and making necessary adjustments.
⢠       Analyze program-related data, providing recommendations for future strategic and programmatic goals.
⢠       Serves as a primary departmental resource for interpreting and applying various policies and procedures.
⢠       Guide project teams, ensuring efficient, engaged, and successful completion of tasks.
 

25% Faculty Affairs/Human Resources:
⢠       Manage all aspects of faculty recruitment, ensuring a diverse and dedicated pool of scholars.
⢠       Navigate hiring, promotion, tenure, awards, leaves, phased retirement, and other HR matters, supporting faculty at every stage.
⢠       Serve as the primary contact for faculty award nominations, letters, development leaves, and extensions.
⢠       Spearheaded faculty-focused projects and strategically manage large-scale events with event planner assistance.
⢠       Orchestrate lecture series (Amundson, Piercy, Fredrickson, PPG, Aris) with event planner support, ensuring seamless execution and impactful experiences.
⢠       Facilitate comprehensive minor safety coordination and policy adherence, safeguarding our community.
⢠       Serve as the primary HR contact for faculty & students, providing guidance and advising the Administrative Director.
⢠       Cross-train departmental staff, encouraging a culture of teamwork and knowledge sharing.
⢠       Design and implement effective recruiting, onboarding, offboarding, and support programs for faculty, staff, and students, including initiatives like New Faculty Launch Committees to                    ensure smooth transitions and success.
 

20% Fundraising/Development/Alumni Relations:
⢠       Craft and implement comprehensive external relations, development, and outreach plans, securing resources and building lasting relationships.
⢠       Design and lead fundraising and alums events that fuel connections and inspire generosity.
⢠       Coordinate initiatives with the development office, department head, administrative director, and key partners to ensure aligned efforts.
⢠       Express appreciation to donors through personalized weekly acknowledgments.
⢠       Provide outstanding support to the External Advisory Board, facilitating impactful collaboration and driving initiatives forward.
⢠       Craft compelling Donor Impact Reports with Alumni Relations. 
 

20% External Relations/Marketing/Communications:
⢠       Primary external liaison for department communications, CEMS website, and CSE communications. 
⢠       Responsible for oversight, strategy, content, and direction of departmental internal and external communications, website strategy, and content.
⢠       Develops and carries out a departmental communication plan.
⢠       Oversight of electronic and print communications.
⢠       The primary point of contact for video and photography needs, working with contractors for website, print communications, events needs, etc. 
⢠       Responsible for internal digital and print displays in CEMS spaces and office/lab signage.

10% Team Leadership
⢠       Supervision of Events and Communications Coordinator
⢠       Backup to human resource staff members for H1B, J1 visas, and staff hires. 
⢠       Maintains current continuing education on supervision, coaching, and training staff members.
⢠       Serve as a mentor, provide regular feedback, and support team members in achieving their goals.
⢠       Effectively identify, lead, and facilitate professional development and performance management needs. 
⢠       Include diversity, equity, and inclusion in all supervision, leadership, and team-building.

The anticipated salary range for this position is $75,000-$85,000 DOE.

Required Qualifications: 
Bachelor's degree in a relevant field (e.g., business administration, human resources, communications, marketing)  plus at least 4 years experience or a combination of related education and work experience to equal eight years
Experience developing communication and outreach plans.
Preferred Qualifications:

Experience in project management.

Experience in marketing and communications.
Supervisory experience.
Knowledge of human resources policies and procedures.
