Job Description:

  • Manage ARD on- and offboarding process for regular staff including managing the administrative logistics and documentation for internal and external transitions and conducting exit interviews.

  • Support Workday usage for Recruiting, Time and Absence, Performance Management, other processes, and reporting as needed.

  • Resolve issues related to accruals, time approver assignments, organizational structures, employee information & documents, etc. via Workday.

  • Train and support managers and staff in using Workday.

  • Partner with internal ARD teams to assist with additional onboarding support as needed.

  • Partner with and serve as a liaison to UChicago HR teams across campus (i.e., Booth, MBSD, Law School, etc.) to facilitate additional onboarding and support for ARD staff members.

  • Work closely with Financial Operations to resolve payroll issues related to Workday Time and Absence.

  • Use Workday, Excel, PowerPoint, and other tools to synthesize data to create and design regular and non-routine reports and charts.

  • Review application materials and evaluate valid candidacy by ensuring applicants meet role requirements.

  • Respond to unforeseen and complex problems, make recommendations to improve efficiency and effectiveness and implement changes as needed.

  • Maintain knowledge of legal requirements and government reporting regulations affecting human resources functions and ensure policies, procedures and reporting are in compliance. Ensure accuracy and confidentiality of all data and records and perform duties in accordance with federal and state laws, University Human Resource Services (HRS) policies and ARD procedures.

  • Participate in the review and determination of best practices in facilitating goals and activities for supporting ARD staff. Contribute ideas in strategic planning sessions.

  • Provide support during Annual Merit Planning (AMP).

  • Develop and maintain procedures and protocol for Talent Management to maintain a high level of professionalism in all activities.

  • Partner with Talent Management team as needed regarding staffing updates and ad hoc assignments.

  • Order and deliver official employee onboarding materials.

  • Seek opportunities for professional development that will enhance job performance including attending webinars, seminars, building networks within the University and with colleagues at peer institutions.

  • Support staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Drafts templates and routine offer problems using standard procedures. Maintains appropriate human resources data and records, solving a range of straightforward problems using standard procedures.

  • Provide professional support to a unit's employee/labor relations efforts, including handling grievances, disciplinary warnings, and employee complaints.

  • Performs other related work as needed.

Preferred Qualifications

Education:

  • Bachelorâ™s degree.

Experience:

  • Experience working with Workday.

Technical Skills or Knowledge:

  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including the University's donor relationship management system and the Microsoft Office Suite.

Working Conditions

  • This position has a hybrid work schedule which includes weekly in office presence.

  • Standard office environment.

  • Travel to campus and/or non-campus locations for University business.

  • Work evenings and weekends as needed.

  • This position is located in Hyde Park at 5235 South Harper Court.
